We are looking for a great 'all-rounder' who wants to take ownership of these amazing new offices and assist those working in it - at present seats for 5 employees and will be used as their 'flagship' office for staff and guests worldwide. You will have previous experience as an office administrator/team assistant ideally within the Finance industry. Will need excellent MS Office skills, excellent interpersonal skills, and brilliant organisational abilities. You will be the ambassador for the company and there is so much opportunity here to grow/progress within the firm.
Duties will include:
- Ensure the smooth day-to-day running of the office in Mayfair
- Take ownership and design ways to improve the office environment continuously
- Maintain office databases, archive records, and implement systems
- Welcome clients and guests visiting the office and organise catering and refreshments when required
- Arrange social and CSR events for the wider Bank in conjunction with the other executive support colleagues
- Execute other administrative functions such as setting up infrastructure for new joiners, maintaining relevant internal records, and filing key records
- Proactively manage diaries for any assigned Execs or Team as determined by the Head of Executive Support; ensuring a balanced and efficient scheduling of meetings whilst using initiative to identify, anticipate and resolve any diary conflicts
- Arrange and coordinate meetings, calls and seminars with internal and external parties, ensuring preparation is undertaken and provided
- Arrange travel, including visa applications, flights, hotel bookings and expense reimbursement when required
- Organise team meetings, coordinating any data documentation for discussion and provide general team support
- Create PowerPoint presentations when required
- Provide basic project management administrative support on initiatives or projects as required
- Work closely with the rest of the executive support team to make sure all Execs are supported as required
