Purpose of the Role: The Communications Executive will be the key contact for media requests, managing drivers’ public commitments and ensuring seamless communication across events, races and partner activations-- coordinating schedules, preparing drivers and team spokespeople for engagements, proactively identifying new media opportunities and ensuring all efforts align with the broader team communications strategy.
Principal Accountabilities:
- Manage and coordinate all driver schedules including interviews, press conferences, autograph sessions, sponsor obligations and promotional appearances, across race weekends, off-track activations, sponsor events, and special appearances.
- Serve as a primary liaison between drivers, media outlets, NTT INDYCAR SERIES staff and internal teams for external-facing engagements.
- Field, evaluate and prioritize incoming media requests, aligning them with team priorities and driver availability.
- Proactively identify and pitch media opportunities to national, local and motorsport-specific outlets to amplify drivers’ profiles and team initiatives.
- Work together with the McLaren communications team to advance relations and collaboration with their broadcast partners.
- Prepare drivers for media appearances with customized briefing documents, key messaging and feedback.
- Accompany drivers and team spokespeople on-site at races and events to manage interviews and media obligations.
- Deliver accurate and engaging writing through official press releases, race weekend recaps and tailored web stories.
- Manage CMS software in collaboration with the McLaren Web and App team.
- Monitor media coverage — Review insights into media metrics and sentiment. Track departmental KPIs and deploy shift in strategy where needed.
- Work cross-functionally with the Arrow McLaren Commercial Team and the greater McLaren Racing organization to align messaging and maximize exposure opportunities.
- Develop and maintain strong relationships with key journalists, broadcasters and media stakeholders to create ongoing story opportunities.
- Assist in crisis communications efforts and real-time management during high-profile or sensitive media situations.
- Maintain a real-time master calendar of all driver-related PR activities and obligations, ensuring accurate communication across departments.
- Assist with developing storytelling angles and narrative strategies that highlight the unique personalities, achievements, and values of Arrow McLaren drivers.
Job requirements Knowledge, Skills, and Experience:
- Bachelor’s degree in Communications, Journalism, Public Relations, Sports Management or related field.
- 2–4 years of experience in public relations, ideally with sports, entertainment or motorsport talent.
- Demonstrated success in pitching and securing proactive media placements.
- Exceptional organization and scheduling skills with attention to detail.
- Strong writing, editing and verbal communication skills.
- Experience working closely with media and talent in high-profile environments.
- Ability to remain calm under pressure and adapt quickly to changing situations.
- Experience with media monitoring, coverage reporting and PR measurement tools.
- Proficiency with Microsoft Office Suite; familiarity with media monitoring platforms (e.g., Cision, Meltwater) is a plus.
- Willingness to travel extensively (weekends and holidays included) during the INDYCAR season and offseason events.
- Based in Indianapolis, Indiana.
- Passion for motorsport and an understanding of the NTT INDYCAR SERIES preferred.
