Purpose of the Role
The key purpose of the role is to assist Purchase Ledger Team Leader in the operation of the purchase ledger, ensuring accurate and timely processing of invoices and credit notes, enabling supplier payment terms to be met. Effective communication with various departments within the organisation and external stakeholders is also a key aspect of this role.
Role Dimensions
Work Arrangement: We have adopted hybrid working across the team; however, flexibility to work hours will be required to meet the operational demands of the teams that you support.
Principal Accountabilities
- Accurate processing of invoices and credit notes in both GBP and foreign currencies, with a focus on correct account coding.
- Setting up new suppliers on the system and sending bank details for verification.
- Ensuring the reconciliation of Purchase Ledger accounts with supplier statement and payments.
- Responding to escalated queries, and liaising with Purchasing Team on price and quantity variances.
- Liaising with internal and external stakeholders to resolve queries by phone and email.
- Preparing Bi-weekly payment runs for review and approval of the Senior Manager.
- Managing and working within shared mailbox ensuring all emails are dealt with and responded to within a reasonable time.
- Supporting the Purchase Ledger Team Leader in streamlining end-to-end purchase ledger processes.
- Assisting in month-end including journal entries and accruals related to the purchase ledger.
