The Warehouse Administration & Portfolio Operations Analyst will serve as a critical part of the Lending Portfolio Management team. This role serves as the operational engine to fund-level performance and assists with driving levered returns for investors. You will be responsible for the day-to-day administration and facilitation of various fund leverage repo/warehouse facilities. This integral function plays a critical role in fund liability management. You will interact with institutional banks, representing the firm on a day-to-day basis. You will assist in the overall facilitation of loan drawdowns, repayments, and interest payments. You will also coordinate the monthly, quarterly, and annual reporting required under each warehouse/repo facility while maintaining a detailed tracking of each facility reporting requirement. This role will also track key covenants, concentration limits, and other facility-level compliance metrics while working with the Fund Finance team and asset management teams.
About the role:
- Coordinate repo/warehouse loan drawdowns, repayments, interest payments – ensuring facility compliance and maximising leverage efficiency.
- Maintain a detailed tracker of all repo/warehouse facility covenants, concentration limits, and relevant reporting dates to maintain compliance.
- Manage the monthly, quarterly, and annual reporting requirements for each facility by coordinating inputs from Fund Finance and the Servicer.
- Work with Fund Treasury to coordinate the movement of cash up and down the investment structure while maintaining compliance with the bespoke loan waterfall structure under each loan facility.
- Attend weekly management calls to report on status updates for each leverage facility to relevant constituents (Head of Lending Portfolio Management, Servicing Platforms, etc).
- Work with Capital Markets team to transition new repo/warehouse facilities over to the Warehouse Administration & Portfolio Operations team.
- Assist in the effort to build new systems for tracking and organising critical accounting and financial data that is used for reporting.
- Build genuine subject-matter depth in the mechanics of repo and back-leverage financing, becoming a recognised operational resource for the wider team.
Skills, Knowledge and Expertise:
- Proven experience in an operations role (loan operations, loan administration, fund operations or a middle-office role within lending, credit or real estate finance) — or a strong analytical background with a demonstrable attention to detail and appetite to learn.
- Highly organised and process-driven, with the discipline to run recurring operational tasks accurately, on time, every time.
- Someone who is able to work somewhat autonomously and anticipate what needs to be done.
- Proficiency in Excel and comfort working with loan-level data; experience with warehouse/repo facilities is a plus.
- Meticulous attention to detail.
- A proactive, ownership-minded approach: willing to chase counterparties, question numbers that look wrong, and escalate early.
- Clear written and verbal communication, comfortable liaising with servicers, lenders and internal finance teams.
- Interest in structured finance and fund financing — exposure to borrowing bases, facility covenants or securitisation is a plus but not required.
- Ability to use various systems in order to compile data for external output.
