Purpose of Job

To administer and support the organisation’s safety systems and associated processes, ensuring safety data, records, workflows, and reporting are maintained accurately, securely, and in line with company standards, regulatory requirements, and assurance expectations. The role supports effective system governance, data quality, user access, and the efficient operation of safety management arrangements across the business.

Principal Accountabilities

  • Administer and maintain safety systems and associated databases, ensuring data is accurate, complete, up to date, and managed in accordance with company procedures.
  • Support the configuration, routine operation, and ongoing maintenance of safety management systems, including workflows, forms, records, and user permissions where appropriate.
  • Maintain system data quality by carrying out validation checks, reconciliations, and regular reviews of safety records, actions, incidents, and assurance information.
  • Provide administrative support for safety reporting systems, including the recording, tracking, and closure monitoring of incidents, actions, investigations, and risk information.
  • Support the Head of Safety & Assurance and wider team by producing regular reports, dashboards, and management information from safety systems.
  • Manage user access, account administration, and permission controls for safety systems in line with internal governance and security requirements.
  • Assist with testing, system updates, enhancements, and process changes to ensure safety systems remain effective and fit for purpose.
  • Monitor system performance and data integrity issues, escalating risks, anomalies, or failures to the appropriate manager or system owner.
  • Support internal and external audits, inspections, and assurance activities by providing accurate system records, reports, and evidential data.
  • Work closely with Safety, Operations, Engineering, HR, and other functions to ensure safety systems are used consistently and information is captured correctly.
  • Provide first-line support and guidance to users on safety system processes, data entry requirements, reporting functionality, and basic troubleshooting.
  • Maintain accurate audit trails, records, and supporting documentation relating to system administration and safety information management.
  • Ensure compliance with relevant legislation, internal governance requirements, data protection expectations, and rail industry standards relating to safety systems and data handling.
  • Identify opportunities to improve system processes, reporting capability, usability, and data quality to strengthen assurance and operational effectiveness.
  • Maintain confidentiality, integrity, and appropriate security of information held within safety systems and related records.

Experience, Knowledge, Qualifications & Training

Essential:

  • Experience of administering business systems, databases, or safety management systems within a regulated, safety-focused, or operational environment.
  • Strong organisational skills with excellent attention to detail and the ability to manage multiple tasks, workflows, and deadlines.
  • Good written and verbal communication skills, with the ability to support users and work effectively with stakeholders across the business.
  • Experience of maintaining system data, running reports, and supporting user access, permissions, and administrative controls.
  • Understanding of data quality, information governance, confidentiality, and controlled record management processes.
  • Experience of working in rail, transport, infrastructure, or another highly regulated environment.
  • Knowledge of safety management systems, assurance processes, reporting requirements, and regulatory or audit evidence expectations.
