We’re looking for a highly organised and detail-focused individual to join us as Company Secretarial Assistant, supporting the Head of Legal and Deputy Company Secretary. This is a key role in helping to coordinate company secretariat and governance activities across the Arriva Group, ensuring compliance with corporate obligations and supporting the smooth running of our governance framework.

The role will be based in our Doxford office, operating on a full-time basis Monday to Friday, 35 hours per week with one hour lunch per day.

Key responsibilities of the role:

  • Supporting compliance with the Companies Act and related UK legislation, including statutory filings and director appointments/resignations.
  • Assisting in the preparation of governance content for annual reports, including Section 172 statements, Wates Corporate Governance statements, and Directors’ Reports.
  • Coordinating board and committee support for key legal entities, including compiling and distributing board packs and taking minutes where required.
  • Maintaining statutory registers and records for the Group’s UK legal entities.
  • Providing company secretarial input on corporate projects and assisting with corporate execution, notarisation, and KYC/corporate information requests.
  • Supporting the Group treasury team on approvals related to collateral documentation.
  • Monitoring developments in UK company law, corporate governance, and regulatory best practice.

What we’d like from you!

We’re looking for an organised and proactive individual with a solid foundation in company secretariat work and a genuine interest in corporate governance. You’ll be confident working in a fast-paced environment, with the ability to support multiple stakeholders and maintain a high standard of accuracy and professionalism.

Key skills and experience include:

  • Experience working in a company secretariat team, with a strong understanding of the Companies Act and UK corporate governance requirements.
  • An active advocate of good governance and best practice in board and entity management.
  • Ability to build strong working relationships across functions and jurisdictions, and operate effectively within a complex matrix structure.
  • Strong analytical, written, and verbal communication skills.
  • Excellent attention to detail and a commitment to delivering accurate, high-quality work.
  • High level of integrity, professionalism, and discretion when handling sensitive information.
  • A collaborative approach, with a positive, “can do” attitude and willingness to support team priorities.
  • Familiarity with corporate governance platforms (e.g. Diligent Boards, Diligent Entities) is desirable.
  • A qualification from the Chartered Governance Institute (ICSA) or equivalent is preferred, or currently working towards one.
