We are seeking an organised and detail-oriented Engineering Administrator to provide administrative support for our Stamford Hill garage. This role plays a key part in supporting the Engineering Management team and ensuring the smooth running of engineering administration processes. The role may also involve covering the Storekeeper position during annual leave, as required.
Main Purpose of the Role
To provide efficient and accurate administrative support to the Engineering Management team and the Engineering Administration Manager, ensuring all engineering records, reports, and systems are maintained to a high standard.
Key Responsibilities
- Inputting job sheets for engineers accurately and in a timely manner
- Maintaining records of accident damage and repairs
- Ensuring all rota reports, 24-hour sheets, and Running Repair Records are completed, signed off, input, and filed correctly
- Raising purchase orders for stationery and other equipment
- Maintaining and updating filing systems, ensuring all documents and checklists are current
- Setting up and maintaining administrative systems
- Providing general office administration support, including:
- Typing memos and letters
- Creating and maintaining charts and spreadsheets
- Filing and document control
- Handling telephone enquiries
- Liaising with colleagues across multiple departments, including Personnel, Risk Management, and Finance
- Covering Storekeeper duties during annual leave periods, where required
- Undertaking any other reasonable duties as required by the business
Skills & Experience Required
- Strong organisational skills with the ability to prioritise workload
- Excellent customer service and communication skills
- High level of attention to detail
- Ability to work accurately and efficiently in a busy environment
- Ability to handle confidential information professionally
- Able to work effectively both as part of a team and on own initiative
- Good working knowledge of Microsoft Office, particularly Word and Excel
- Accurate and efficient data entry skills
- Knowledge of database systems, particularly Oracle, would be an advantage
