Reporting to: Operations & Supply Planning Manager

Overview of the role

This role is responsible for supporting in delivering the end-to-end trade order process, ensuring accurate order entry, efficient fulfilment, and timely issue resolution. Acting as the link between trade customers, internal teams, and third-party providers, this role supports smooth operations while maintaining high service standards and driving process improvements.

Key Responsibilities

  • Order Management: Accurately receive, review, and process customer orders in a multi-channel environment.
  • Fulfilment Oversight: Track and monitor order status, coordinate dispatch, and resolve any shipping or delivery issues promptly.
  • Customer Support: Act as the primary point of contact for order-related inquiries, providing timely updates and resolving concerns professionally.
  • Cross-Functional Collaboration: Work closely with warehouse, logistics, supply chain, and finance teams to ensure efficient and seamless order fulfilment.
  • Data & Documentation: Maintain accurate records of orders, invoices, claims, and customer information within ERP systems (primarily Business Central).
  • Performance Monitoring: Track key operational KPIs including turnaround times, error rates, inbox response times, and efficiency metrics.
  • 3PL Management: Oversee third-party logistics providers, monitoring performance against KPIs and SLAs (e.g., OTIF, inventory accuracy, damages, delivery accuracy) and drive corrective actions where required.
  • Issue Resolution: Investigate and resolve discrepancies, delays, or returns in a timely and professional manner.
  • Process Improvements: Identify opportunities to streamline order management processes and enhance overall efficiency.
  • Compliance: Ensure all transactions align with company policies, pricing structures, and contractual obligations.
  • Reporting & Admin: Prepare and maintain operational documents, reports, and cost tracking as needed.
  • Ad Hoc Support: Undertake additional tasks and assignments at short notice to support departmental requirements.

Experience

  • Previous experience in an operational or customer service setting preferred but not required.
  • Proactive, motivated and collaborative individual with attention to detail.
  • Strong organisational skills with the ability to work to multiple priorities.
  • Excellent communication skills, both written and verbal.
