About the role

We are looking for an experienced administrator or co-ordinator with an eye for detail to join our team here at ARO. The Project Coordinator provides administrative and coordination support to the Collaboration Onboarding team, assisting in the delivery of telephony and connectivity projects. The role focuses on ensuring project activities are well-organised, documented, and communicated effectively to support smooth onboarding processes.

You will work closely with internal teams, customers, and external stakeholders, helping to maintain accurate records, track progress, and ensure delivery timescales are met. Please note that this is a Hybrid role with onsite requirement 3 days a week. You must be able to commute to the office and have your own transport.

What you’ll do

  • Support Project Delivery: Assist in the delivery of onboarding projects and incremental orders, ensuring tasks are completed accurately, on time, and within scope.
  • Maintain Accurate Records: Keep project data, reports, and documentation up to date, ensuring handovers and records meet company standards.
  • Facilitate Communication: Serve as a point of contact for internal teams, customers, and external suppliers, maintaining professional communication and escalating issues or delays as needed.
  • Enhance Customer Experience: Contribute to a smooth onboarding process, ensuring stakeholders are informed and supported throughout the delivery lifecycle.
  • Enable Team Efficiency: Provide administrative support to help colleagues achieve shared project goals and maintain a productive team environment.
  • Support Continuous Improvement: Identify opportunities to improve processes, documentation, and reporting for more efficient project coordination.
  • Track team WIP forecast
  • Assist in planning and preparing handovers, ensuring documentation and quality standards are met
  • Complete small onboarding orders and incremental requests, ensuring accuracy and timely delivery
  • Assist in scheduling meetings, preparing agendas, and distributing notes and action points
