The Role

Due to continued growth, we're looking for an organised and motivated Wealth Planning Administrator to join our expanding team.

This is a key role supporting our Financial Planners by ensuring the efficient administration of client cases from initial enquiry through to implementation and ongoing servicing, while helping to deliver an exceptional client experience.

This position is ideal for someone who already has experience within financial services and is looking to build a long-term career in financial planning. Key Responsibilities

  • Provide administrative support to Financial Planners throughout the advice process.
  • Manage Financial Planners' diaries, coordinating client meetings, annual reviews and follow-up activity to ensure ongoing service clients are looked after in line with the firm's agreed service levels.
  • Prepare client review packs, valuations and meeting documentation.
  • Process new business applications across pensions, investments and protection.
  • Liaise with providers, clients and third parties to obtain information and progress cases.
  • Maintain accurate client records using the firm's CRM system.
  • Prepare suitability report information and supporting documentation where required.
  • Monitor outstanding business and proactively follow up providers to ensure timely completion.
  • Handle client enquiries professionally via telephone and email.
  • Assist with ongoing client servicing, annual reviews and portfolio administration.
  • Ensure all administration is completed accurately and in line with FCA regulatory requirements and internal procedures.
  • Work collaboratively with colleagues to continuously improve client service and business processes.
  • Support the wider team with ad hoc administrative duties as required.

As your knowledge and experience develop, you'll have the opportunity to become increasingly involved in technical case preparation, report writing and client support, providing a strong foundation for progression into Paraplanning or Financial Advice.

About You

We're looking for someone who has:

  • Previous administration experience within an Independent Financial Adviser (IFA), wealth management or regulated financial advice firm.
  • A genuine interest in building a long-term career in financial planning.
  • Excellent organisational skills with the ability to manage multiple priorities.
  • Exceptional attention to detail and a high level of accuracy.
  • Strong written and verbal communication skills.
  • A professional, friendly and proactive approach.
  • Excellent client service skills with the confidence to build lasting relationships.
  • Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
  • Experience using financial planning back-office or CRM systems (such as Intelligent Office, Xplan or similar) would be advantageous.
  • The ability to work independently while contributing positively to a close-knit team.
  • A willingness to learn, develop and embrace new responsibilities as your career progresses.

Desirable Qualifications & Experience

  • Experience within financial planning, wealth management or an IFA practice.
  • Good understanding of pensions, investments and protection products.
  • Knowledge of FCA regulations and financial services administration processes.
  • Progress towards, or a willingness to study for, the Level 4 Diploma in Regulated Financial Planning.
  • An ambition to progress into a Paraplanner or Financial Adviser role in the future.
