Armstrongs Wealth Planning is a growing independent financial advice firm based in Nuneaton, Warwickshire. We specialise in helping clients grow, preserve and protect their wealth through trusted, personalised financial planning. We take pride in offering a professional yet friendly service and developing long‑term relationships with our diverse range of clients. As our business continues to expand, we’re looking for an Experienced IFA Administrator to join our team and support the delivery of our service to our clients. This position is available on a full‑time arrangement; however, we will also consider applications from candidates looking for part‑time working arrangements.

This is an opportunity to join a supportive and forward‑thinking firm and become an integral member of the team in a senior administrative role. You will work closely with our advisers to ensure the smooth running of client processes and help maintain our high standards of service.

Key Responsibilities:

  • Provide administrative support to financial advisers and the wider team.
  • Act as an initial point of contact for existing clients' queries and new prospect interactions over phone and email.
  • Prepare documentation, valuations, and reports for client meetings.
  • Assist with setting up and maintaining accurate internal client files and records.
  • Process account applications, transfers, and new business submissions.
  • Service existing business, including policy changes, fund switches, and withdrawals.
  • Liaise with product providers and third parties to obtain information and manage client requests.
  • Completion of Suitability Letters, to be presented by advisers in client meetings.
  • Handle incoming and outgoing post, manage emails, and respond to client queries.
  • Manage Letters of Authority and obtain necessary information from financial providers.
  • Support marketing, client communications, and general office administration as needed.

About You:

You’ll be an organised, proactive, and professional individual who enjoys working as part of a small, close‑knit team and takes pride in delivering high‑quality work.

  • Previous experience (2yrs+) in a wealth management or IFA environment.
  • A general understanding of financial planning, pensions, and investment products.
  • Excellent administrative and organisational skills.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficient with Microsoft Office (Word, Excel, Outlook).
  • Positive attitude and commitment to delivering excellent client service.
  • Experience using industry-related tools such as SelectAPension, Financial Platforms (for example, Quilter, Transact & 7IM), and cashflow modelling tools such as Cashcalc or Voyant.
  • Prior experience of producing pension and investment illustrations and completion of suitability letters.
