The purpose of the role is to strategically source, negotiate, and manage the acquisition of technology products and services that enable the organisation's digital operations. This role ensures that all IT procurement activities deliver best value, compliance, and operational continuity, while aligning with the organisation's technology roadmap and financial objectives. The role holder will also be required to ensure all IT Department processes are maintained in the company's process mapping software application. This role is key to ensure business continuity. Management of key contracts that provision the business with key services is crucial in maintaining continuity to the whole business. Services such as IT Communications, Office 365 services, Telephony, and mobile telephony all require focus on ensuring payments are in time and service disconnection is not threatened due to non-payment.
Responsibilities and Accountability:
- Lead end-to-end procurement for hardware, software, cloud services, telecoms, and IT professional services.
- Contract & Vendor Management - Negotiate commercial terms, pricing, SLAs, and contract conditions to secure favourable outcomes.
- Manage contract renewals, amendments, and lifecycle tracking.
- Monitor supplier performance against KPIs and escalate issues where required.
- Ensure that all IT supplier processes are consistent and interface with all corporate governance requirements, processes, and standard terms and conditions.
- Maintain and review IT supplier and contract data in the contract management system.
- Work with Finance and IT leadership to forecast IT procurement spend.
- Support vendor risk assessments and ensure compliance with security, legal, and regulatory requirements.
- Act as the process lead to ensure that the IT organisation is able to gather, analyse, store, and share knowledge and information to improve efficiency by reducing the need of teams to rediscover knowledge.
- Work with the IT Service Delivery and Operations team Leads to ensure that the Knowledge base is properly maintained by the team.
- Act as CSI (Continual Service Improvement) Lead with responsibility for the management and improvement of all IT processes.
- Work with IT teams to ensure that all processes and procedures are up to date and fit for purpose.
- Measure performance of IT processes and procedures and work with teams to increase efficiency and effectiveness.
- Ensure asset and configuration management processes and procedures are up to date and fit for purpose.
- Liaise with Service Delivery Manager to ensure processes are followed correctly.
- Identify opportunities for efficiencies in all areas of responsibility.
- Use knowledge of process and procedures along with operational experience and guidance from IT management to evaluate and improve processes and procedures.
- Utilise knowledge of department, business plans, and budgets as defined by Management to consolidate purchasing activities to achieve maximum value.
- Knowledge of ISO 27001 and GDPR fundamentals.
- Negotiation experience and skills.
