The Project Support / Document Controller will provide structured administrative support throughout the project lifecycle. The role focuses on maintaining accurate project data, ensuring that documents are properly organized, accessible, and compliant with relevant standards and regulations. This role involves collaboration with various teams to facilitate the efficient flow of information.
Key Accountabilities- Project Support and Coordination: Provide day-to-day project support to the Project Management team to ensure projects are delivered in line with agreed scope, programme, and commercial requirements. Act as a central point of contact for project documentation, data, and administrative support. Develop and implement standardized document management procedures to ensure consistency across all projects. Play a key part in the implementation and configuration of new Document Management Software (DMS). Conduct regular audits of document management processes to ensure compliance with industry standards and company policies.
- Technical Documentation & Submissions: Update and maintain technical submission documents in line with approved project scope, specifications, and design changes. Provide clear and timely technical information to the wider Project Support team to support project coordination and reporting. Ensure all technical documentation is correctly formatted, version-controlled, and issued in accordance with quality and document control procedures. Manage the distribution of documents to stakeholders, ensuring timely and accurate delivery. Upload documents to client portals. Ensure all documentation, including commissioning and witness testing reports, FATs, O&M manuals, traceability, warranty documents, and design drawings, are accurately categorised and stored. Monitor document revisions and maintain version control. Complete archiving as required. Collaborate with Engineering, Proposals & Project Management teams to gather, review, and finalize documentation before distribution. Liaise with clients and stakeholders to address any document-related inquiries or issues. Assist in the development and maintenance of document templates and guidelines.
- Digital Project Tools (JIRA): Maintain and update the Digital Project Engineering Group software (JIRA) templates as required. Support visibility of workload, progress, and dependencies across the project team through accurate system data, using JIRA & Power BI. Work closely with Project Managers, Project Engineers, and support teams to improve the accuracy and flow of project information. Identify opportunities to improve project support processes, templates, and digital systems. Support lessons-learned and continuous improvement initiatives within the project delivery team. Provide training and support to staff on document management systems and procedures.
The role operates under the direction of the Programme & Project Managers and Project Engineer; priorities will be defined by the reporting manager.
What We’re Looking For- Education: Qualification in Business Administration, Information Management, or related field (preferred).
- Experience: Previous experience in document control or a similar administrative role, ideally in a Projects focused environment.
- Technical Proficiency: Proficiency in Microsoft Office and strong understanding of mechanical principles. Familiarity with industry-specific regulations and standards. Experience with SharePoint. Experience with electronic document management systems (EDMS). ERP System experience (Infor LN preferable but not essential). Experience with JIRA (preferable but not essential).
- Communication: Strong written and verbal communication skills, with the ability to effectively present information to diverse stakeholders. Ability to work independently and as part of a team.
- Time Management: Ability to work on own initiative but also be a key member of a team. Ability to manage multiple tasks simultaneously and meet deadlines.
- Soft Skills: Strong interpersonal skills and the ability to work in a team, managing relationships with key stakeholders including customers. High attention to detail. Proven organisational and multitasking abilities. Detail-oriented, proactive and able to perform well under pressure.
