We are looking for a Resource Co-ordinator to provide an effective, customer-focused service that supports the delivery of consistent, high-quality care services within a defined area. Reporting to the Senior Resource Co-ordinator, you will develop a strong understanding of service requirements, individuals' needs and preferences, and staff availability and skills. By bringing this information together, you will proactively match staffing resources to service needs in a fast-moving environment helping to ensure effective service delivery, maximise staffing efficiency and minimise reliance on agency staff. You will act as a central point of contact for staff deployment and rota management using Arks Information Management System (AIMS), working closely with local management teams and contributing to system development and continuous improvement.

Key Responsibilities

  • Staff Deployment & Service Delivery
    • Plan, create and maintain staff rotas, ensuring they are available for staff to view in line with our agreed rota guidance
    • Deploy staff to ensure contracted hours are met and service needs are covered
    • Co-ordinate cover for planned and unplanned absences
    • Manage the deployment of relief staff to help minimise costs and agency use within the service
  • Systems, Data & Compliance
    • Ensure all staff deployment is managed through AIMS in line with Arks deployment principles
    • Monitor compliance with AIMS and provide support to improve usage
    • Analyse data, produce KPI reports, and support managers to use information effectively
    • Prepare Excel spreadsheets and Word documents as required
  • Collaboration & Communication
    • Act as a first point of contact for AIMS queries across the organisation
    • Build effective relationships with managers, staff, agencies and head office teams
    • Work closely with Care & Support, People & Organisational Development, Finance and IT colleagues
    • Support communication between services, relief staff
  • Learning, Development & Improvement
    • Support staff induction and ongoing training in the use of AIMS
    • Contribute to the development of guidance materials and system improvements
    • Take part in the AIMS Working Group and support continuous improvement initiatives

You will work on a rota that includes weekend, evening and early morning hours to help support business needs.

About You

  • Essential English and Maths National 5 (pass) or SCQF Level 5
  • Experience working in a fast-paced, dynamic environment with changing priorities
  • Experience developing or managing staff rotas or deploying resources
  • Excellent communication and interpersonal skills
  • Strong attention to detail and ability to maintain accurate records
  • Confident using digital systems, including Microsoft Word and Excel
  • Desirable
  • SCQF qualification at Level 7 or above
  • Experience within social care or a similar frontline service environment
  • Understanding of learning disabilities and support requirements
  • Experience supporting system development or process improvement
  • Experience working to KPIs and performance measures
