What You’ll Do
- Provide dedicated coordination and organizational support to senior leaders, managing diaries and tracking actions.
- Organize and coordinate staff travel requirements, ensuring all logistics are flawlessly arranged.
- Build and maintain a range of internal documents, including spreadsheets and frameworks.
- Support the General Manager with administrative tasks such as collating information and producing documents as required.
- Coordinate procurement and contracting processes, including tracking approvals of documents and paperwork.
- Maintain security, welcome guests, and issue access cards.
- Establish and maintain office policies and procedures to ensure seamless operations.
- Develop and maintain positive relationships with vendors and service providers.
- Ensure the general upkeep of office equipment and manage office supplies.
- Provide confidential and highly professional business support to the leadership team and its collaborators.
What We’re Looking For
- Strong organizational abilities combined with keen attention to detail, effective time management, and a focus on achieving objectives.
- Ability to take ownership of day-to-day workload and projects while prioritizing demands from others and meeting strict deadlines.
- Proficient knowledge of MS Office applications (Outlook, Word, Excel, PowerPoint).
- Very good written and oral communication skills in English; other languages are a nice-to-have.
- At least 3 years of experience working as an Executive Assistant or in a comparable position.
- Proven ability to work independently as well as part of a team.
- Outstanding problem-solving skills and a proactive approach.
