We are offering an exciting opportunity to join our hardworking and welcoming GP Practice as a Receptionist, providing vital support and becoming an integral part of our dedicated Team. This is a part-time position, working 5 shifts per week (5.75 hours each), Monday to Friday, with a mix of morning and afternoon schedules. In this part-time role, no two days are ever the same you’ll be helping patients, solving problems, and making a real difference in peoples lives. Alongside greeting patients, managing appointments, and handling enquiries with care, you’ll also take on some important administrative tasks that keep the practice running smoothly. It can be challenging at times, but you’ll be part of a team that works together, supports one another, and takes pride in delivering excellent patient care. This role comes with full training, so no formal qualifications are required. However, previous experience in a GP practice would be preferential but what matters most is your enthusiasm, reliability, and willingness to learn.
Main duties of the job
- Be the first friendly face and voice patients encounter, whether welcoming them in person, answering the phone, or responding to emails.
- Help patients feel supported by managing appointments, processing referrals, and guiding them through their healthcare journey.
- Keep communication flowing between patients and healthcare professionals, ensuring everyone has the information they need.
- Take on key admin tasks that keep the practice running smoothly, from handling queries to maintaining accurate records.
- Champion safety and standards by following procedures, keeping the environment clean and safe, and supporting governance responsibilities.
- Work closely with the Deputy Practice Manager to deliver excellent reception and administrative services, contributing to patient care and the wider success of the practice.

In addition to being a teaching practice for GP registrars, we also train preregistered pharmacists. Job responsibilities
- Welcome patients and visitors in person, on the phone, and by email, making sure they feel supported.
- Book, change, or cancel appointments and help patients with referrals.
- Guide patients to the right healthcare professional or service.
- Arrange home visits when needed and follow simple triage steps.
- Keep the reception area clean and safe so patients feel comfortable.
- Spot and report problems to the Deputy Practice Manager.
- Help improve systems by checking processes and following health and safety rules.
- Protect patient privacy and treat everyone with dignity and respect.
- Join team meetings and share ideas to improve patient care.
- Handle concerns or complaints calmly and kindly.
- Act as a chaperone when patients need support during appointments.
- Keep accurate records of patient interactions.
- Register new patients and update records.
- Scan and process documents and use clinical IT systems.
- Use resources wisely and avoid unnecessary waste.
Person Specification
- A good standard of education with good literacy and numeracy demonstrated by further education qualifications in relevant topics.
- Holds or is working towards an NVQ or BTEC in business administration, IT skills and/or health and social care.
- Demonstrable enthusiasm to further own skills and knowledge through learning and development.
- Previous work experience within a customer facing environment.
- Previous experience of working with customers from very diverse backgrounds.
- Previous work experience working within a healthcare environment.
- Demonstrates high level complex decision making and prioritisation of workload and resources.
- Has proactive problem solving skills with the ability to understand the issues and seek help or information to resolve them.
