About the Role
We are seeking a detail-oriented Procurement Coordinator (FF&E) to manage the end-to-end procurement of FF&E and other purchased project items. This role is responsible for tendering, purchasing, shipping, and delivery to site, ensuring all items are delivered on time, within budget, and to the required quality standards. You will act as a key liaison between internal teams, suppliers, consultants and clients and may work across multiple projects depending on size and complexity.
What will you be doing?
- Budget & Commercial Management
- Work closely with suppliers, internal and external stakeholders, and clients to ensure project budgets are achieved
- Compile and manage detailed FF&E budgets and cost reports
- Negotiate with suppliers to secure the best commercial terms
- Support value engineering initiatives to meet financial and project requirements
- Project & Procurement Activities
- Prepare and issue tender and quotation enquiries and analyse returned pricing
- Review FF&E specifications for completeness and contractual compliance
- Prepare and issue purchase orders in line with company policies
- Expedite orders and monitor supplier performance to meet programme requirements
- Identify procurement risks and implement mitigation strategies
- Prepare and present project status reports to internal and external stakeholders
- Coordinate shop drawings, samples, bespoke FF&E items, and production inspections
- Undertake FF&E item take-offs from drawings and schedules
- Source and onboard new suppliers as required
- Liaise with external consultants when necessary
- Logistics & Delivery
- Coordinate shipping and logistics with freight forwarders and suppliers
- Ensure goods are manufactured, shipped, and installed in line with project timelines
- Work closely with logistics teams to manage both direct and indirect shipments
- Client & Stakeholder Management
- Attend project meetings and present progress updates, budgets, and reports
- Act as a direct point of contact for client teams
- Maintain clear and consistent communication with project leads and stakeholders
- People & Team Collaboration
- Manage and support Procurement Assistants to ensure high-quality outputs
- Share knowledge across the team to promote consistent standards and best practices
- Financial Administration
- Coordinate supplier payments with Accounts
- Maintain accurate records of transactions and procurement documentation
Essential Skills & Experience
- Hands-on experience in FF&E procurement and purchasing, ideally on hospitality projects
- Skilled in preparing tenders, analysing supplier quotes and negotiating commercial terms
- Experience reviewing FF&E specs and preparing reports for project teams
- Strong track record in purchase orders, progress trackers and FF&E BOQs
- Coordinating shop drawings, finish samples and supplier communications
- Liaising with consultants, suppliers and project teams to keep projects on track
- Proactive in finding alternative suppliers and supporting value engineering proposals
- Knowledge of contract administration and global materials & furniture suppliers
- Strong problem-solving skills and flexible approach to project requirements
- Excellent time management and ability to work within budgets
- Confident, clear, and professional communication skills
