Manager says:
We are looking for an exceptionally organised individual who can offer an exemplary level of EA support to the CEO and CCO, operating as the pain point of contact and gateway for the CEO and CCO, creating efficiencies and time processes.
What you will do:
- Ensure the CEO & CCO are in the right place at the right time, with the right papers and fully briefed.
- Work as part of a team and ensure consistency, best practice and relevant communication across the business.
- Travel bookings and production of itineraries for travel.
- Submission of expenses.
- Production and circulation of meeting agendas and reports.
- Timely and accurate completion of meeting minutes.
- Coordination of client visits.
- Other ad-hoc administrative duties.
- Extensive diary management and coordination of meetings.
- Minuting meetings where required and producing accurate minutes in a timely manner.
- Organising entertainment and team incentives where necessary.
- Managing the workstreams, diarising/prioritising reminders of outstanding issues/tasks and ensuring these are followed up.
- Liaising with internal stakeholders for updates on current business and relaying these to the CEO & CCO.
- Ensuring that the CEO & CCO are fully briefed, and all activities are completed with documentation available for their meetings.
- Other ad-hoc administrative duties.

Qualifications & Experience:
- Min 3-5 years’ experience working at C Suite/Board level.
- Min 8-10 years working as PA/E.
- Relevant industry experience (Insurance Financial Services) market knowledge is essential.
- Experience co-ordinating client events, exec offsite and all logistics.
- Experience of booking complex travel arrangements with contingency planning, visa and expense claiming.
- Experience in extensive, proactive diary management in a fast-paced environment and used to managing changing priorities.
- Advance knowledge of Microsoft packages, particularly PowerPoint, Word, and O365.
- General knowledge of insurance industry.
- Excellent oral and written communication skills.
- Excellent organisation skills.
- Ability to prioritise workload.
