Role Purpose:

The Office & Facilities Support role is crucial to ensuring seamless operational and administrative office support. This role includes front-of-house responsibilities, general administrative support to local teams, and accurate reporting related to facilities, supplies, and health & safety. Additionally, the role involves providing executive assistance to members of the Senior Leadership Group.

Key Responsibilities:

  • Executive Assistant: Provide proactive support to the Senior Leadership Group (SLG), including diary management and preparation of key documents. Support diary coordination and general admin for others in the team if requested.
  • Office & Facilities Operations: Maintain a professional, safe, and well-organised office environment. Welcome visitors and manage reception duties. Coordinate with vendors and manage office supplies. Liaise with external vendors, contractors, and landlord to ensure timely and high-quality service delivery. Monitor office supplies and manage procurement and stock levels efficiently. Support the implementation of facilities processes and health & safety procedures under the direction of the Facilities & IT Lead. Regular office auditing of equipment and ensuring reporting procedures are followed where needed.
  • Administrative Support: Provide general administrative assistance and help with meetings and events.
  • Reporting & Documentation: Produce accurate reports and log facilities, IT, and H&S issues. Assist with the preparation of accurate and timely reports related to office usage, supplies, incidents, and maintenance. Record and log facilities, IT, and H&S issues for escalation and resolution. Contribute to internal reporting and audits as required by the Facilities & IT function.
  • Front of House / Reception Duties: Be the first point of contact for all visitors and people in the office. Manage the visitor sign-in process and ensure a professional and friendly welcome. Handle incoming post and deliveries and maintain tidy communal spaces (reception, meeting rooms, kitchens).
  • Administrative Support: Provide admin support to local office-based teams as needed (e.g., room bookings, printing, document collation). Organise team meetings and assist with logistics for internal events. Support diary coordination and general admin for others in the team if requested. Be the point of contact for new starters, provide office inductions, and assist where required.

Key Competencies, Skills & Experience:

  • Relationship Building: Ability to build effective working relationships with clients and stakeholders, both internally and externally, enhancing teamwork and decision-making.
  • Leadership Development: Desire to develop and learn people leadership skills to inspire, develop, and empower high-performing teams.
  • Market Knowledge: Basic understanding of the infrastructure market and awareness of relevant policies and potential changes.
  • Technical Expertise: Knowledge of land access, land rights, wayleaves, easements, licenses, compensation framework, stakeholder engagement, and negotiation.
  • Negotiation and Engagement: Ability to lead negotiations, develop and complete agreements, and secure the withdrawal of objections, reducing risks at examination.
  • Communication: Excellent interpersonal skills with the ability to communicate effectively verbally and in writing to various audiences.
