Purpose of the Role:
The Operations Coordinator provides essential support across Ardent’s core operational functions, including health, safety, environment, quality, facilities, and business risk. This role ensures that operational processes run smoothly by maintaining key trackers, coordinating communications, supporting audit readiness, and assisting in the delivery of internal initiatives. Acting as a central point of coordination between the COO, SHEQ Lead, and Facilities & IT Lead, the Operations Coordinator plays a vital part in helping the business meet its compliance obligations, improve operational efficiency, and deliver an excellent working environment for all colleagues.
Key Responsibilities:
Operational Coordination & Support
- Coordinate operational activities across SHEQ, facilities, and central operations.
- Maintain key trackers (e.g. audits, risk registers, compliance logs) and ensure follow-up actions are completed.
- Support the preparation of Board, SLG and operational reporting packs.
- Assist with process documentation, template updates, and QMS-related admin tasks.
Health, Safety, Environment & Quality (SHEQ)
- Help collate data and documentation for internal and external audits.
- Support SHEQ Lead with incident reporting, risk assessments, and wellbeing communications.
- Maintain registers and trackers for statutory and ISO compliance (45001, 9001, 14001).
Property, Facilities & IT Support
- Assist the Facilities & IT Lead in coordinating office-based services (e.g., DSE assessments, repairs, contractor liaison).
- Help log and escalate local IT or facilities issues.
- Track and support sustainability initiatives (e.g., energy use, recycling efforts) aligned with ESG goals.
Reporting, Comms & Training Support
- Provide administrative support for compliance and learning campaigns (e.g., cyber training, fire safety drills).
- Draft internal communications and team updates for operational projects.
- Support engagement with People Leaders through reporting or scheduling of mandatory training.
Business Process & Risk Support
- Assist in maintaining operational risk registers and tracking mitigation actions.
- Help embed consistent use of operational templates (e.g. risk assessments, issue logs).
- Support delivery of B-Corp and Net Zero initiatives with coordination and document collation.

Requirements
Essential
- Experience in a business support, coordination, or operations assistant role.
- Excellent organisational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Confident user of Microsoft Office, SharePoint, and cloud-based collaboration tools.
- Ability to manage multiple tasks and prioritise workload in a fast-paced environment.
- Comfortable working on-site, full time.
Desirable
- Familiarity with SHEQ functions or ISO standards (e.g. 9001, 14001, 45001).
- Experience working in a professional services or project-based consultancy.
- Awareness of sustainability reporting, B-Corp, or ESG principles.
- First aid or fire marshal training (or willingness to complete).
