Based in our London office, you will serve as the strategic right hand to the VP, Store Development & Retail Operations, EMEA, while also acting as a key orchestrator within our Retail Global Centre of Excellence (COE). This role is ideal for someone who thrives in a global retail environment, understands multi-country operations, and brings the organizational mastery of a seasoned Executive Assistant. You will help shape global retail standards, drive regional alignment, and enable senior leadership to operate at their highest level.

You are someone who brings order to complexity, clarity to ambiguity, and momentum to global initiatives. You anticipate needs before they arise, communicate with precision, and navigate shifting priorities with confidence and calm. Your work ensures that our VP—and our global COE—operate with rhythm, alignment, and excellence.

Candidates must be eligible to work in the UK. This role is on hybrid mode (2 days at home, 2 days at the office – Arc'teryx London, Covent Garden Store – and 1 day at the discretion of the manager).

Meet Your Future Team

You will work directly with the VP, Store Development & Retail Operations, EMEA, and partner closely with the Global COE as it delivers frameworks and standards that advance our brand across all regions. You will collaborate with a network of high-performing Executive Assistants, Program Managers, and cross-functional partners across Brand, Store Development, Retail Operations, Design, VM, and Regional Retail teams to support exceptional execution across the business.

You will be at the heart of shaping global retail standards, driving alignment across regions, and enabling senior leadership to operate at their highest level as the strategic right hand to the VP, Store Development & Retail Operations, EMEA, while also playing a key role within the Retail Global COE.

You work with order, clarity, and momentum to ensure rhythm and alignment across the VP and the COE.

Responsibilities

  • Executive Support (50%)
  • Providing exceptional administrative support through complex scheduling and calendar management across multiple regions and time zones.
  • Coordinating domestic and international travel arrangements, including multi-leg itineraries subject to continuous changes.
  • Preparing agendas, meeting minutes, pre-reads, and presentation materials for key meetings.
  • Managing correspondence and ensuring timely follow-up on action items.
  • Organizing and submitting expense reports in a timely manner.
  • Coordinating logistics for meetings, workshops, offsites, and in-person gatherings.
  • Ensuring alignment and clear communication across internal stakeholders and teams.
  • Maintaining an organized and efficient office rhythm for the VP, anticipating needs and proactively smoothing workflows.
  • COE Program Coordination (50%)
    • Supporting the planning, coordination, and execution of COE-led initiatives, including global standards development.
    • Managing meeting cadences for COE workstreams, including scheduling, agendas, minutes, action item tracking, and follow-through.
    • Coordinating cross-regional alignment sessions with NAM, EMEA, APAC, and Greater China partners.
    • Supporting version control, documentation organization, and distribution of COE materials, briefs, and toolkits.
    • Using project management tools to maintain trackers, timelines, risks, and dependencies.
    • Formatting presentations, summaries, and supporting documents used in global leadership discussions.
    • Collaborating with functional SMEs to ensure clear communication, accurate updates, and smooth execution of COE activities.
    • Supporting the operational rhythm of the COE, ensuring consistency, alignment, and accessibility of global standards work.

    Future Focus

    • Developing and implementing process improvements to enable more effective operations within EMEA Store Development & Retail Operations and the Global COE.
    • Supporting documentation, logistics, and facilitation for future COE deep-dive workshops.
    • Working toward your own professional development goals, based on your specific interests in the business.
    • Supporting additional senior leaders or COE functions as the organization grows.

    Are you our next Global Standards Lead & Executive Assistant?

    You have 5+ years of Executive Assistant or senior coordination experience supporting senior leaders (ideally executive-level leaders) in a fast-paced and multi-country environment.

    Background in Retail COE, global standards, or cross-regional program coordination.

    Highly organized, detail-oriented, and energized by complex workflows.

    Clear, confident, and culturally aware communication.

    Ability to adapt quickly, stay calm under pressure, and proactively solve problems.

    Love creating structure, driving alignment, and enabling others to do their best work.

    Interest in continuous improvement and finding better ways of working.

    Passion for the work and for getting outside and living it.
