Your Opportunity at ARC’TERYX: Based out of our London office, you will provide senior-level executive support to the VP, Store Development & Retail Operations, EMEA, while also playing an integral role in coordinating work for our Retail Global Centre of Excellence (COE). You are a master of organization, with a particular knack for scheduling, communication, and managing complex workflows across multiple time zones. The VP you support is set up for success through your prompt correspondence, proactive planning, and solution-based approach. Your natural adaptability allows you to thrive in an environment that often requires nimble rearrangements. You remain calm, cool, and collected while balancing multiple priorities, including supporting global standards work through the COE’s operating cadence. You bring clarity, structure, and momentum to a role that blends executive administration with project coordination at a global scale. Candidates must be eligible to work in the UK. This role is on hybrid mode (2 days at home, 2 days at the office - Arc'teryx London, Covent Garden Store - and, 1 day at the discretion of the manager).
Meet Your Future Team: You will work directly with the VP, Store Development & Retail Operations, EMEA, and partner closely with the Global COE as it delivers frameworks and standards that advance our brand across all regions. You will collaborate with a network of high-performing Executive Assistants, Program Managers, and cross-functional partners across Brand, Store Development, Retail Operations, Design, VM, and Regional Retail teams to support exceptional execution across the business.

- Executive Support (50%)
- Providing exceptional administrative support through complex scheduling and calendar management across multiple regions and time zones
- Coordinating domestic and international travel arrangements, including multi-leg itineraries subject to continuous changes
- Preparing agendas, meeting minutes, pre-reads, and presentation materials for key meetings
- Managing correspondence and ensuring timely follow-up on action items
- Organizing and submitting expense reports in a timely manner
- Coordinating logistics for meetings, workshops, offsites, and in‑person gatherings
- Ensuring alignment and clear communication across internal stakeholders and teams
- Maintaining an organized and efficient office rhythm for the VP, anticipating needs and proactively smoothing workflows
- Supporting the planning, coordination, and execution of COE‑led initiatives, including global standards development.
- Managing meeting cadences for COE workstreams, including scheduling, agendas, minutes, action item tracking, and follow‑through
- Coordinating cross‑regional alignment sessions with NAM, EMEA, APAC, and Greater China partners
- Supporting version control, documentation organization, and distribution of COE materials, briefs, and toolkits
- Using project management tools to maintain trackers, timelines, risks, and dependencies
- Formatting presentations, summaries, and supporting documents used in global leadership discussions
- Collaborating with functional SMEs to ensure clear communication, accurate updates, and smooth execution of COE activities
- Supporting the operational rhythm of the COE, ensuring consistency, alignment, and accessibility of global standards work

You have 5+ years of Executive Assistant or senior coordination experience, ideally supporting executive‑level leaders. You have worked 3+ years in an international organization and developed multicultural competencies. Retail experience is not mandatory, but a plus. You have strong emotional intelligence, discretion, and the ability to maintain confidentiality. You’re well versed with the Microsoft Office suite and comfortable using project management tools such as Monday.com. You have excellent business acumen and communication skills, and you naturally bring clarity and structure to ambiguous environments. You are adept at complex scheduling and managing the logistics of an executive’s rhythm, ensuring pre‑reads, agendas, and follow‑up actions are well organized. You thrive in a global organization and are comfortable coordinating across time zones and regions. You have excellent time management skills and utilize sound judgement and prioritization when juggling competing priorities.
