Key Responsibilities

Operations & Engineering Support

  • Workload planning and scheduling of routine and reactive maintenance.
  • Supporting, managing, and coordinating the engineering team, including training and development.
  • Preparing customer quotations and managing sales orders through to invoicing.
  • Identifying customer needs and proactively promoting relevant accessories and services, including contracts.

Project & Data Management

  • Producing Bills of Materials, managing stock ordering, and overseeing projects as required.
  • Ensuring accuracy across all business records, including job cards, customer documents, product movement records, and Sage entries.
  • Allocating parts and managing project costings for modifications and conversions within Sage.
  • Ensuring all completed work is correctly invoiced and reconciled.

Systems, Software & IT

  • Confident use of Sage for project management, sales orders, and invoicing.
  • Proficient in Excel, CAD software, and Adobe tools, including the creation of forms with electronic signature capability.
  • Managing product listings on the company website.
  • Supporting the use of mobile applications, telematics, and temperature mapping tools.
  • Exploring and implementing AI and productivity tools where appropriate.
  • Contributing to branded communications, including email signature design and document templates.

Process & Compliance

  • Driving process improvement and mapping, using tools such as Lucid or equivalent.
  • Validating and policing data input across all records and systems to maintain integrity.
  • Supporting purchasing activity, including supplier benchmarking and researching alternatives in line with ISO requirements.

Qualifications & Experience

  • A relevant qualification in business administration, management, commerce, or industrial engineering.
  • A working understanding of temperature control systems, with at least a basic grasp of electrical components - a mechanical background is a distinct advantage.
  • Experience in operations management and organisational effectiveness.
  • Familiarity with business, financial, and project management principles.
  • PMP qualified or actively working toward would be of benefit.

Skills & Competencies

  • Strong IT aptitude, including Sage, Excel, CAD, and Adobe.
  • Excellent written and verbal communication skills.
  • Able to produce accurate documentation and manage competing priorities without compromising attention to detail.
  • Process-driven, with experience in data validation and record management.
  • Comfortable working independently, researching information, and completing tasks without close supervision.
