Working with a privately owned independent and agile specialist business operating in the real estate sector for occupier clients with a client base comprising the world’s largest companies and recognisable brands.

Role summary/description of role:
As a Program Manager for a privately owned growing commercial project and programme management SME with an impressive corporate client base across all sectors including banking, finance, technology, pharmaceutical, law and retail, you will provide comprehensive program management support across various strategic client workstreams: Procurement, Transition & Change Management and Supplier Performance Assessment Management. Your primary responsibilities will be to leverage program management methodologies, helping our client to achieve consistency in managing their strategic out-sourced real-estate and workplace professional services.
Key responsibilities:
No two weeks are the same, but typically you can expect to:
- Establish and Maintain: Develop and manage comprehensive program governance frameworks, including RACI matrices, stakeholder maps, and communication strategies to ensure clear roles and effective engagement.
- Enable Data-Driven Decisions: Build and maintain meaningful, data-driven reports, dashboards, and tools using G-suite tools and AI capabilities.
- Monitor, Report and Recommend: Actively monitor program performance, tracking progress against goals and generating clear, timely reports to keep stakeholders informed. Propose improvement processes, presenting relevant insights and making strategic recommendations.
- Embed Agile Programme Management: Integrate agile methodologies where appropriate, such as establishing meeting cadences for stand-ups, retrospective meetings, and sprints. Manage Procurement Processes: Assess the scope and suggest the most appropriate procurement exercise and manage procurement exercises such as Expressions of Interest (EOI), Request for Information (RFI), Request for Proposal (RFP),Request for Quote (RFQ) or Framework Agreements
- Contract Management & Negotiation: Evaluate the financial aspects of bids, develop diverse contracting strategies, and collaborate with internal legal teams to finalize contract execution, while maintaining familiarity with contract administration processes, including master service agreements, purchase orders, invoicing, and change control management.
- Optimise Supplier Performance Assessment and Reviews: Support and maintain the rollout and continuous improvement of Quarterly Business Reviews (QBR’s) for key vendors to assess performance and ensure strategic alignment, always considering business-wide changes which might affect performance indicator updates.
- Lead Communications: Develop and execute robust communication and change management plans to minimise disruption and ensure clear, consistent messaging to all stakeholders.
- Support Onboarding & Off-boarding of Vendors: Plan and support onboarding of new vendors and off-boarding of incumbents by managing handover or changes in scope through structured meetings and tracking of activities.
- Partner and Collaborate: Work collaboratively, consult and inform a wide range of internal stakeholders to successfully manage programs.
Skills, knowledge and experience required:
- 2-5+ years of progressive experience in program or project management, operating within a complex, global corporate real estate or corporate services environment.
- Exceptional Technical Proficiency: Mastery of document, spreadsheet, and presentation software (e.g., Google Docs, Sheets, Tableau, Power BI), with the ability to create compelling, leadership-level content and communications, organize, and visualize information, demonstrating a proven capacity to independently learn and enhance skills with familiar tools.
- Advanced Data Analysis and Dashboarding: Significant experience in developing and maintaining dashboards (e.g Google Sheets, Tableau, Looker Studio, Power BI) and conducting in-depth data analysis to support strategic decision making and performance reporting.
- AI Ninja: Experience in leveraging AI tools to enhance efficiency and generate insights. Demonstrate an understanding of prompt engineering and creative thinking to harness the capabilities of AI for personal and client efficiencies. Advance understanding of AI tools, creating agents, or coding would be a benefit.
- Personal Attributes: A proactive and confident self-starter with exceptional flexibility. A demonstrated ability to thrive, adapt quickly, and deliver results in fast-paced and unstructured environments.
- Stakeholder Influence: Excellent interpersonal and communication skills with the ability to manage and influence a diverse set of senior stakeholders across multiple functions and global regions.
