To provide comprehensive administrative and strategic support to the executive, enabling the executive to focus on high-impact leadership responsibilities. The Executive Assistant will operate with a high degree of autonomy, professionalism, and discretion, and will be adept at managing complex priorities, leveraging digital tools such as Microsoft Copilot to enhance productivity and decision-making.

Qualifications
  • A-Levels / Higher Education
  • Proven experience supporting C-suite or senior executives
  • Experience in a fast-paced, high-stakes environment
  • Familiarity with the London Insurance market is desirable, but not essential
Key Responsibilities
  • Executive-Level Diary Management and Organisation
    • Manage complex calendars, including high-level internal and external engagements
    • Monitor and triage executive inboxes, flagging strategic priorities
    • Coordinate national and international travel, including itineraries and logistics
    • Maintain executive files and ensure information is readily accessible
    • Maintain and update a high-level stakeholder contact database
    • Draft and edit correspondence, reports, and presentations with minimal oversight
  • Strategic Support and Digital Productivity
    • Draft communications, reports, and presentations
    • Summarise meetings and documents
    • Automate routine tasks and streamline workflows
    • Conduct research and prepare briefing materials for strategic meetings
    • Support the executive in tracking key business metrics and initiatives
    • Anticipate executive needs and proactively manage priorities
  • Meeting Administration and Governance Support
    • Coordinate and prepare for Board and Committee meetings, including agendas and materials
    • Take high-quality minutes and track follow-up actions
    • Manage reporting timelines and ensure timely submission of deliverables
    • Provide formatting and editorial support for high-visibility documents
  • Stakeholder Engagement and Relationship Management
    • Liaise confidently with senior internal and external stakeholders
    • Manage Tier 1 entertainment and hospitality arrangements
    • Coordinate internal meetings, offsites, and executive-level events
    • Act as Key point of contact for the executive’s office and department
  • Operational and Financial Administration
    • Administer expenses and corporate card reconciliations (Concur)
    • Manage vendor relationships and payment processes
    • Support departmental budget tracking and reporting
