Role Summary and Purpose
This role will be part of the team responsible for the all-round repairs, ongoing maintenance and general facilities queries. This will encompass all UK offices, as well as further afield, as and when required. The candidate will work to ensure that Arch sites are safe, compliant and an attractive space for our colleagues to work from.
Key Tasks and Responsibilities
- Part of team handling UK facilities requests (via various channels ie ServiceNow/Facilities inbox etc), adhering to set SLAs
- Maintenance of team Facilities calendar
- Assist with project planning and coordination with key stakeholders (contractors/vendors etc), when required
- Populate facilities systems relating to all UK sites (Smartsheet/iOFFICE/ HVAC system) and provide relevant management reports
- Contact with UK wide building management, and dealing with UK wide building facilities issues etc.
- Assist with onsite visits across all Arch UK sites - travel involved, when necessary
- Assist with Regional Office construction projects (When Required under the direction of the Facilities PM)
- Be integral to the ongoing management of all archive records and confidential waste
- Vendor Management: Assist with vendor assessment (research, review and present)
- Collate and maintain records and co-ordinate relationship management
- Manage budget and invoicing where applicable
- Assist with overall Health and Safety programme - Booking relevant training courses monitoring of certificates and expiry dates.
- Arranging Health and Safety Assessments and Fire Risk assessments for all UK sites, Following up and closing out identified issues "RAG report" for Health and Safety for all UK sites
- Completing and maintaining records and ensuring the folder is regularly updated
- Working with other pillars within the Facilities team (PM, Front of House, and Data & Leasing)
- Travel: assist with Travel inbox and related issues as and when required

- Microsoft suite of products (primarily Email/Excel/Word/ PowerPoint)
- Create and use spreadsheets to an intermediate level (using formulas and pivot table)
- Excellent communication skills
- Good team player

- English and Maths
- Some level of experience with facilities is required and if possible, experience of ServiceNow which could be an advantage.
