We are seeking an experienced FM Coordinator to manage and coordinate facilities management activities across multiple school sites. This role is critical in ensuring the smooth delivery of Planned Preventative Maintenance (PPM) and reactive maintenance services for statutory and building maintenance systems. You will act as a key point of contact for surveyors, engineers, contractors, and clients, ensuring compliance with SLAs, health and safety standards, and operational efficiency.
Role Accountabilities
- Plan and schedule PPM and reactive maintenance tasks across multiple sites.
- Place orders with contractors for compliance and maintenance services.
- Coordinate and monitor contractor delivery schedules.
- Manage FM helpdesk functions and integrate FM processes within corporate systems.
- Allocate tasks to in-house teams or external contractors as required.
- Ensure CAFM systems (e.g., Digitize FM) are kept up to date with job statuses and completion reports.
- Maintain compliance with industry standards (e.g., SFG20) and health & safety regulations.
- Prepare and maintain accurate documentation, including job sheets, quotes, invoices, certificates, and warranties.
- Track SLAs and KPIs, and report progress to senior management.
- Act as the main point of contact for client inquiries and updates, resolving issues promptly.
Qualifications & Experience
- Experience in service coordination, scheduling, or facilities management.
- Background in FM/PPM scheduling and contractor management.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and CAFM systems.
- Familiarity with compliance standards, SLAs, and building maintenance requirements.
- Experience managing reactive maintenance and emergency call-outs.
- Previous coordination role within maintenance or facilities management.
- Working knowledge of building maintenance and compliance standards.
