Role Overview

We are looking for an experienced Procurement Manager to join our Procurement team and take ownership of the purchasing and fulfilment of hardware, software and services across the business. This is a hands‑on senior role within a fast‑moving MSP environment. You will be responsible for ensuring requested items are sourced from approved suppliers, purchased accurately, tracked effectively and delivered in line with agreed timelines. The role requires strong commercial awareness, supplier management experience and the ability to work confidently across Sales, Finance, Service Delivery, Technical and Operations teams. You will be expected to manage day‑to‑day procurement activity while also helping improve procurement processes, supplier performance, data accuracy and internal controls. You will play a key role in making sure procurement supports customer delivery, margin protection, operational efficiency and compliance. This means taking ownership of purchasing accuracy, order tracking, supplier escalation, fulfilment updates and procurement governance. This role would suit a senior procurement professional with 5+ years’ experience in procurement, purchasing, IT distribution, MSP operations, supplier management or a similar commercial environment.

Key Responsibilities

  • Take ownership of procurement activity across hardware, software, licensing and services.
  • Source products and services from approved suppliers, distributors and vendor partners.
  • Confirm supplier pricing, stock availability, lead times and delivery options.
  • Review supplier options and make commercially sound recommendations based on price, availability, service level, risk and delivery requirements.
  • Place accurate purchase orders with suppliers in line with internal processes and approval controls.
  • Track open orders from placement through to delivery, ensuring internal systems are updated clearly and consistently.
  • Confirm expected delivery dates and provide timely order updates to internal and external stakeholders where required.
  • Manage supplier-side escalations where orders are delayed, incorrectly processed, short‑shipped or impacted by stock changes.
  • Support urgent, high‑priority or business‑critical orders, ensuring risks and timelines are clearly communicated.
  • Maintain accurate procurement records within Autotask PSA and related business systems.
  • Ensure supplier information, order notes, delivery updates and fulfilment records are kept up to date.
  • Work with Finance to support purchase order, invoice, goods receipt and delivery query resolution.
  • Support goods receipt, stock movement and equipment logistics where required.
  • Build and maintain strong working relationships with key suppliers, distributors and vendor contacts.
  • Help ensure procurement activity follows approved supplier, compliance and commercial guidelines.
  • Identify opportunities to improve purchasing processes, supplier communication, fulfilment tracking and procurement reporting.
  • Support procurement governance, including supplier selection, preferred supplier usage, documentation quality and audit readiness.
  • Contribute to improved supplier performance, operational efficiency and cost control across the business.

Required Skills & Experience

  • Minimum 5+ years’ experience in procurement, purchasing, supplier management, order fulfilment, IT distribution, MSP operations or a similar commercial role.
  • Strong understanding of procurement processes, purchase orders, supplier management and order fulfilment.
  • Proven experience managing suppliers, distributors, or vendor relationships.
  • Strong attention to detail when working with pricing, quantities, part codes, specifications and supplier information.
  • Good commercial awareness with the ability to balance cost, availability, service level, risk and customer requirements.
  • Strong organisational skills with the ability to manage multiple orders, queries, priorities and deadlines at the same time.
  • Excellent written and verbal communication skills.
  • Confidence dealing with suppliers, distributors, internal stakeholders and senior colleagues.
  • Ability to chase updates, resolve issues, escalation effectively and maintain accurate records.
  • Comfortable working with business systems, spreadsheets and structured procurement processes.
  • A proactive approach to ownership, follow‑up, issue resolution and continuous improvement.
  • Understanding of why accurate procurement matters to customer delivery, margin protection, billing accuracy and operational performance.
