Are you an organised and detail-focused administrator with experience in construction, contracts, or project support? We’re recruiting on behalf of a respected contractor for an Estimating / Contract Administrator to join their growing team. This is a fantastic opportunity to play a key role supporting both the Finance and Preconstruction functions — helping to keep projects running smoothly from tender through to completion.
About the Role
As the Estimating / Contract Administrator, you’ll be the vital link between project, finance, and preconstruction teams. You’ll manage subcontract orders, ensure compliance processes are watertight, and provide essential administrative support throughout the estimating and tendering lifecycle. This role is perfect for someone who enjoys variety, takes pride in accuracy, and thrives in a fast-paced, team-oriented environment.
What You’ll Be Doing
- Subcontract & Contract Administration
- Prepare, issue, and manage subcontract orders throughout their lifecycle.
- Coordinate document signing, scanning, and filing (digital and physical).
- Keep meticulous records of all orders, certificates, and supporting documents.
- Liaise with finance teams to align subcontract data with budgets and payment schedules.
- Issue and track payment certificates, ensuring clear communication with subcontractors.
- Compliance Coordination
- Manage security clearances (e.g., DBS, prison access) for employees and subcontractors.
- Liaise with clients and authorities to meet site-specific compliance requirements.
- Maintain up-to-date registers of clearances, renewals, and expiry dates.
- Preconstruction & Estimating Support
- Support the issuing of tender enquiries and track supplier responses.
- Assist in compiling and formatting professional tender submissions.
- Maintain document control systems for tenders, addendums, and bid outcomes.
- Keep supply chain and estimating databases accurate and current.
- Provide general administrative support to the estimating team, including tender follow-ups and client communication.
- Data & Systems Management
- Develop efficient digital filing systems for contracts, tenders, and compliance documents.
- Support database upkeep and generate reports for tracking bids, tenders, and compliance.
What We’re Looking For
- Strong organisational and document management skills.

- Proficient with Microsoft Office (Excel, Word, Outlook) and digital filing systems.
