We are looking for an experienced Installation Coordinator and Administrator to be an integral part of our Projects Management team, to help us achieve our goals, ongoing solution delivery and be part of our journey.

Reporting to the Service and Installation Supervisors, the role will operate as a first point of contact with our Clients (new and existing) as you liaise directly with them to make arrangements for the implementation of incoming project works. The role will incorporate the scheduling and facilitation of engineers attending our project sites and on completion of work, supporting the Client with the necessary pre and post‑installation documentation and certification.

The ideal candidate would not only have previous experience carrying out this role in the Fire and Security sector or in a similar project administrative role in an engineering field. They should have a genuine awareness and appreciation of the importance of being part of the bespoke solution provided to our client‑partners and being comfortable liaising directly with them and our engineers.

Duties

  • Liaising with Account Management Team & Installation Supervisor with the facilitation of successfully proposed works.
  • Liaising directly with the Client regards required works/project start dates and coordinating with our own ‘works planner’.
  • Liaising with the Service Supervisor where required/ when works involve both teams.
  • Scheduling engineer allocation across multiple projects at the same time.
  • Preparing and providing our Clients with site and project specific RAMs.
  • Making arrangement for any pre‑start inductions, project specific overnight stays and travel arrangements.
  • Liaising with Clients, engineers and our Account Management team where required during the arranged works/project.
  • Preparing and presenting all ‘end of project’ documentation and certification.
  • Representing the company by telephone and emails.
  • Assisting with incoming telephone enquiries and redirecting incoming calls to pertinent colleagues/ teams, where relevant.
  • Processing all works/ project details and documentation onto our client asset management system (UpTick CRM).

Requirements

  • Excellent organisational skills and ability to manage several projects at the same time.
  • Strong communication skills, friendly and proactive team player.
  • Well versed in office based IT skills. Proficiency in Microsoft Office Suite.
  • Administrative background within the Fire and Security sector – ideally within the Installation field.

Salary £26k – £28k on starting, based on experience.
