Our client is seeking a highly organised and proactive Partnerships Executive to support our Team Partnerships at a very busy time. This is a hands‑on role which sits at the heart of our commercial partnerships department, ensuring that our work with brand partners and retailers is delivered smoothly, on time and to a high standard.
In this role, you will support both the Head of Partnerships and the Partnerships Manager on everything from deck creation and proposal development, to campaign activation, admin and systems, and partner communications. You’ll help us keep pitches sharp, data and assets organised, and live campaigns running seamlessly. The role is ideal for someone who enjoys being the central organising force in a busy team, is confident with Google Decks and documents, and is happy to switch between detailed admin and external‑facing support. This position is a minimum 6‑month fixed‑term contract, working 3–4 days per week, with hours spread as evenly as possible across the week (e.g. 3 days over 4, or 4 days over 5). You’ll work closely with the current Partnerships Activation Manager, helping to provide coverage at key times.
Responsibilities
- Act as the lead support on preparing decks for a wide range of pitches and partner meetings.
- Keep all data, visuals and copy accurate, current and appropriately sourced, including checking for any internal sensitivities.
- Tailor core decks for different partners and sectors, under the direction of the Partnerships Manager and Head of Partnerships.
- Liaise with internal stakeholders (including Publishing, Theatre, Comms and CP) to regularly pull stats, data and insights for use in Partnerships decks and reports.
- Create and maintain a central, easy‑to‑access library of historic pitches and mock‑ups, structured so materials can be quickly adapted for new proposals.
- Where needed, convert older files (e.g. from Keynote) into Google Slides or other agreed formats.
- Help keep case studies and other internal documents up to date and accessible.
- Act as the main point of contact for the partnerships@roalddahl.com inbox, triaging and responding or redirecting as needed.
- When needed, support the delivery of upcoming campaigns and, where appropriate, take the lead on elements of campaign management, including: managing artwork approvals, prize sourcing and coordination for campaigns and promotions.
- Day‑to‑day running of campaigns, including preparing status meeting notes and ensuring actions are followed up.
- Inducting and onboarding partners into our campaign tools and processes (e.g. Starcourt accounts, kick‑off sessions, asset sharing, etc.).
- Provide logistical and administrative support for events and trade shows, as required by the Partnerships team.
Admin, Systems & Asset Management
- Manage the shared drive and document structure, ensuring files are correctly labelled, saved down and easy to find.
- Design and maintain a simple, logical filing system for the Partnerships team.
- Take notes on client and partner calls and support with follow‑ups and action tracking.
- Support with Starcourt (partner tracking system) integration and asset migration.
- Help create a simple resource document for partners being onboarded to Starcourt with relevant links to assets.
- Ensure asset sensitivities are respected when sharing externally.
- Manage internal book and product stock for partners including organising and sending items to partners where required.
- Sorting, logging and replenishing CP/product items, sourcing CP/products for restocking.
Pitch, Prospecting & Finance Support
- Use tools such as Pearl Finder and LinkedIn to identify potential contacts and leads for IP pitches.
- Carry out partner and market research to inform prospecting, targeting and proposal development.
- On occasion, support with drafting outreach emails for the Partnerships Manager and Head of Partnerships.
- Depending on experience, potentially help convert new partners and support their onboarding into our systems and ways of working.
- Support with basic finance admin, including raising POs, tracking expenses and ensuring internal processes are followed.
Requirements
- Confident user of presentation tools (e.g. Google Slides, PowerPoint, Keynote) with experience building or editing decks.
- Excellent attention to detail in both copy and data, including version control, file naming and source attribution.
- Comfortable managing shared drives and implementing simple, effective filing systems.
- Strong written and verbal communication skills, including note‑taking and drafting clear follow‑up emails.
- Confident working with a range of internal stakeholders and external partners, and comfortable representing the team professionally.
- Ability to work autonomously, take initiative and proactively identify where processes and documentation can be improved.
- Experience working with licensed IP, brand partnerships or retail/CP campaigns.
- Familiarity with tools like Pearlfinder, LinkedIn Sales Navigator, or CRM systems for prospecting and partner management.
- Previous experience supporting campaign activations.
- Experience with digital asset management platforms and basic understanding of asset rights/sensitivities.
