My clients currently seeking a Service Co-Ordinator with experience in the Lift Industry to join their team for a permanent role in Chatham.
Operational Responsibilities
- Book all services in Autovu (AV); co-ordinate with clients and engineers for site visits.
- Ensure engineers check the autodialler on each service and record the number in Autovu and in the spreadsheet on the drive.
- Log and allocate callouts daily.
- Update Lifts OOS board.
- Set up new contracts in AV: assign to a route, book the first visit, send the engineer a pack, and pass the new contract pack to Finance once added.
- Check service due dates and proactively book visits.
- Confirm with engineers if a site log card is required and include the correct pack.
- Oversee the Shutdown Board for service-related status updates.
- Organise any client standbys as required.
Client, Engineer Subcontractor Communication
- Daily 8:00 a.m. welfare check on all engineers.
- Liaise with clients day-to-day on service scheduling, updates, and outcomes.
- For subcontractors: obtain prices, issue PO numbers, and later verify invoices for authorisation when Finance sends them through.
- Send completed service sheets to clients upon job completion and for the Key clients update their KPI spreadsheet.
Finance Administration
- Weekly invoicing for Services and Callouts: print the sheet, add details and amounts, then pass to Finance to invoice.
- Record internal cost and client charge.
- Check sheets and add costs to invoice following callouts.
- Type up the night-call rota and email to all each month (and whenever changed).
- Ensure phones are switched to the night-call manager at day-end, and back to office the next morning (and handed over daily).
