We are looking for an experienced administrator who is looking to learn and grow their knowledge within an officer role. This role is a full‑time office based role and includes opening and closing of premises. You will be a highly motivated administrator with excellent communication skills, as a key part of this role is liaising with internal and external customers. You will deal with sensitive highly confidential information, both written and verbal, and will liaise with members of the public and professionals. You will be working to strict deadlines to support our Fleet service. You must be highly organised and proactive, the successful candidate must communicate daily with the workshop teams, parks, fleet, waste and street scene and managers of all these services.
The day‑to‑day core focus is providing direct support to the operational team, you must have excellent ICT skills and experience of using Microsoft packages. You will need to observe a high level of confidentiality and comply with GDPR at all times.
Key roles and responsibilities:- Responsible for the organisation of North Yorkshire Council’s fleet and transport vehicles.
- Processing and maintaining records of fleet vehicles and driving records.
- Working closely with the operational team to support an extremely busy service.
- To undertake reception duties, meet and greet visitors, provide direction and give advice and guidance to routine queries.
- Tasks including basic stock control, data processing, checking of vehicles, filing vehicle and driver’s records, and making bookings as required.
- To undertake basic financial management processes including processing orders and invoicing, assisting in closedown of year end accounts and resolving issues including unpaid bills.
- Perform data input whether relating to finance, staffing information, service usage or otherwise.
- To create, manage, process and manipulate data and information whether relating to finance, staffing information, customers or any other service requirements or eligibility criteria.
- To co‑ordinate the receipt of information or returns, checking, collating and confirming as necessary and prepare reports.
- To assist in the preparation and organisation of meetings and events.
Full training will be provided to the successful candidate.
