Job Description Apple Recruitment are recruiting for a Personal Secretary (Band 4) on behalf of our client, based in the Belfast area on a temporary basis. Hourly Rate: £12.86 Duration: Temporary (6 months) Hours: 37.5 hours Mon-Fri Key Responsibilities: Responsible for the organisation aid provision of administrative and secretarial Support to the Assistant Director. This will include diary management, dictation, word processing, mail management, file maintenance and the preparation of papers, reports, briefings; etc. Comply with established office procedures and maintain and monitor the filing system for, the office In line with Records Management requirements. Research, collation and presentation of information and reports as necessary. Taking appropriate action in relation to correspondence, telephone and other. Ensuring systems are in place to undertake and monitor follow up actions. Drafting correspondence and reports on behalf of the Assistant Director. Service all meetings including the preparation and timely issue of agendas and papers, production of minutes and progression of business. Responsible for initiating and following up action arising from various meetings. To maintain effective working relationships with key stakeholders both Internal and external to the organisation maintaining appropriate, communication networks and presenting a professional image appropriate to the office of the Assistant Director. To deal with the receipt, distribution and action of all correspondence hard copy and electronic. To liaise with the Department of Health and other external agencies on behalf of the Assistant Director. To supervise subordinate staff as required. To provide administrative and secretarial cover to other senior officers as required 1a. GCSE Maths & English A-C or equivalent AND2 x A-levels or equivalentAND18 months experience in a secretarial role to include typing, diary management and communication with all levels of the organisation OR 1b. 3 years experience in a secretarial role to include typing, diary management and communication with all levels of the organisation. 2. RSA/OCR Stage 2 (both parts) typing or word processing OR 1-year word processing experience. 3. Experience of minute taking 4. Experience in the use of Microsoft Word, Excel, Outlook & PowerPoints 5. Experience of working as part of a team. Essential Criteria: Essential skills: Effective communications skills which will meet the needs of the post in full. An ability to manage workload effectively and meet strict deadlines.
