About the Role
We are currently recruiting for a Member Services Officer. This is an excellent opportunity for an experienced administrative professional who can manage a varied workload, work to tight deadlines and provide high-quality support in a busy governance environment.
Key Responsibilities
- Co-ordinate paperless Committee meetings and circulation of Members' documents.
- Service Council and Committee meetings, including preparing agendas, minutes, reports and recording proceedings.
- Prepare and collate meeting files, presentations and supporting documentation.
- Maintain records of Members' attendance, committee memberships, conferences and expenses.
- Liaise with internal departments, Members and external organisations to support effective communication and meeting administration.
- Upload approved reports, minutes and committee documentation to the website.
- Arrange meetings, room bookings and hospitality requirements.
- Provide administrative support for the Mayor and Deputy Mayor.
- Arrange approved Member travel and accommodation.
- Maintain corporate and Member Services calendars.
- Assist with Freedom of Information requests.
- Co-ordinate Zoom invitations for Council and Committee meetings.
- Manage and co-ordinate the on-call Member Services Officers.
- Support Local Government Elections administration as required.
- Deliver a high standard of customer service and respond to enquiries through to resolution.
Essential Criteria
Qualifications
- Applicants must possess: LCCI Secretary's Certificate, BTEC National Certificate in Business Studies, or another relevant Level 3 qualification on the Qualifications Framework AND RSA/OCR Stage II Word Processing (or equivalent).
- Applications may also be considered from candidates who do not hold the above qualifications but can demonstrate at least 4 years' relevant experience.
Experience
- A minimum of 2 years' relevant clerical experience including:
- Use of Microsoft Office applications.
- Preparation of agendas, reports, minutes and general correspondence.
- Managing demanding workloads and conflicting priorities to meet deadlines.
Skills and Abilities
- Effective organisation of workload to meet tight deadlines.
- Good interpersonal skills.
- Ability to prioritise workload effectively.
- Ability to maintain a high standard of quality and accuracy.
- Ability to produce clear and concise records of meetings.

Other Requirements
- Full current driving licence or access to suitable transport to enable duties to be carried out in full.
- Flexibility to work outside normal working hours when required.
- Ability to work flexibly in other services during emergencies.
