Apple Recruitment is recruiting on behalf of our public sector client for an Estate Services Systems and Data Officer based at Antrim Civic Centre. This is an excellent opportunity for an experienced systems and data professional to play a key role in the management and ongoing development of an Asset Management System. The successful candidate will provide effective data management, reporting and user support, while helping to improve business processes and support energy management across the organisation's estate.

Key Responsibilities

  • Manage and develop the Asset Management System, ensuring continued improvements in functionality, efficiency and business processes.
  • Work collaboratively with internal teams and stakeholders to identify and implement effective asset management processes.
  • Provide first-line support to managers and staff using the Asset Management System, including support by phone, email and in person.
  • Maintain data integrity by running queries, analysing data and producing reports as required.
  • Produce accurate and timely asset management, energy usage and statistical reports.
  • Monitor energy data on a monthly basis and initiate investigations and remedial action where required.
  • Maintain electronic and manual filing systems, ensuring data is stored securely and in accordance with GDPR requirements.
  • Develop and document workflows, procedures, templates, checklists and user guidance to improve operational efficiency.
  • Develop and deliver training for new and existing system users and identify ongoing training needs.
  • Maintain Display Energy Certificates for relevant sites by collating energy data and sourcing certificates.
  • Support the preparation and submission of statutory and internal reports relating to energy usage.
  • Monitor performance against Service Level Agreements and KPIs and recommend improvements where appropriate.
  • Identify and monitor external grant opportunities relating to energy-saving initiatives.
  • Support the management of asset management and energy-related contracts, including liaison with suppliers and contractors.
  • Work collaboratively with IT teams and other stakeholders to enhance systems and processes.
  • Participate in corporate projects, working groups and other initiatives as required.

Essential Criteria

  • A Degree-level qualification or equivalent in a relevant discipline, such as Business Information Systems, Facilities Management or Energy Management.
  • OR Applicants without a third-level qualification may be considered where they can demonstrate a minimum of 4 years' relevant experience in the required areas.
  • A minimum of 2 years' relevant experience in each of the following:
    • Operating and administering an Asset Management System.
    • Dealing with challenging system queries and advising internal and external customers.
    • Using Microsoft Teams and Microsoft Office applications, including Excel and Word.
  • Strong attention to detail and excellent problem-solving skills.
  • Good report writing and analytical skills.
  • Ability to work to strict deadlines and manage competing priorities.
  • Effective interpersonal and communication skills.
  • Ability to liaise effectively with staff and management at all levels.
  • Good working knowledge of Microsoft Office.
  • Knowledge and understanding of business processes.
  • A full current driving licence and access to suitable transport to enable the duties of the role to be carried out in full, or the ability to meet the travel requirements of the role.

Desirable Criteria

  • A relevant professional qualification, such as membership of CIOB or IWFM, or a willingness to work towards professional membership.
  • Experience developing and implementing automated systems and business processes.
  • Experience in Energy Management.
