Apple Recruitment is recruiting on behalf of our client for a Member Relations Assistant to provide administrative and secretarial support to a busy Member Relations team.
Key Responsibilities
- Provide administrative and secretarial support to committees and the wider Member Relations team.
- Act as a first point of contact for members, colleagues and other stakeholders, responding to enquiries in a professional and courteous manner.
- Maintain accurate records relating to committees and member relations activity, including agendas, minutes, action notes, policies and procedures.
- Prepare, format and distribute agendas, reports, briefings, minutes and other documentation.
- Take minutes at meetings and follow up on agreed actions.
- Maintain accurate and up-to-date information on relevant databases and internal systems.
- Assist with organising meetings, including coordinating diaries, booking rooms, arranging catering and meeting and greeting members and key stakeholders.
- Provide administrative support in relation to casework, including following up on actions and organising meetings.
- Coordinate and support internal and external events and meetings, including arranging catering and refreshments.
- Attend member-related events when required and represent the organisation in a professional manner.
- Provide general administrative support, including diary management, travel arrangements and ordering stationery and supplies.
- Prepare papers, briefings and reports for colleagues, managers and committees.
- Archive and retrieve confidential files and ensure information is handled appropriately.
- Plan and prioritise own workload and respond effectively to changing requirements and competing deadlines.
- Work collaboratively with colleagues and provide support to other teams as required.
- Maintain a consistently high standard of accuracy, confidentiality and customer service.
Essential Criteria
- Experience in a similar administrative role.
- Experience of minute taking, agenda preparation and dissemination.
- Excellent written and verbal communication skills.
- Excellent customer service and interpersonal skills.
- Strong planning, prioritisation and organisational skills, particularly in relation to meeting management.
- The ability to handle large amounts of complex information efficiently while maintaining strict confidentiality.
- Excellent attention to detail and a consistently high level of accuracy.
- Strong IT skills, including experience using Microsoft Office packages.
- The ability to work effectively as part of a team and independently.
- The ability to multitask and work effectively in a fast-paced environment.
- The ability to demonstrate adaptability and flexibility when responding to changing demands.
- The ability to manage own workload, work to deadlines and use initiative.
- The ability to deal professionally and sensitively with challenging situations and competing demands.
- GCSE English and Maths minimum grade C or equivalent would be desirable.
The role may occasionally require attendance at meetings or member-related events outside normal working hours, including occasional weekend working or overnight stays where required.
