A well-established professional services organisation based in Belfast City Centre is seeking a Receptionist to join their team on a 9-12 month fixed-term contract. This role offers the potential to become permanent for the right candidate.
This is an excellent opportunity for a friendly, professional and highly organised individual who enjoys working in a busy front-of-house environment. The successful candidate will be the first point of contact for visitors, clients and callers, providing a welcoming and professional service while supporting the wider team with a range of administrative duties.
The Role
This is a busy and varied role requiring excellent communication and organisational skills. You will be responsible for managing a busy reception area, handling a high volume of telephone calls, welcoming visitors, preparing meeting rooms, processing incoming post and supporting the wider team with administrative duties.
Key Responsibilities
- Meet and greet visitors in a professional and welcoming manner.
- Answer a busy telephone system, take messages and redirect calls appropriately.
- Manage incoming and outgoing post.
- Receive, open, scan and distribute post and documentation.
- Prepare meeting rooms for meetings, client visits and events.
- Operate Microsoft Outlook to send and receive internal communications.
- Record incoming and outgoing documents, parcels and deliveries using databases and spreadsheets.
- Maintain reception and communal areas to a high standard.
- Manage visitor sign-in procedures and visitor records.
- Provide general administrative support to the wider team.
- Filing, scanning, photocopying and document management.
- Assist with additional administration duties as required.
About You
The successful candidate will possess:
- Previous experience in a Receptionist, Front of House, Customer Service or Administrative role.
- Strong communication and interpersonal skills.
- Excellent organisational and time management abilities.
- A professional, friendly and approachable manner.
- The ability to work effectively in a busy environment with multiple competing priorities.
- Strong attention to detail and accuracy.
- Good IT skills, including Microsoft Outlook, Word and Excel.
- The ability to work independently and as part of a team.
- A proactive and positive approach to work.
- Willingness to provide additional cover during holiday periods when required.
