Duration: Temporary – initially 8 weeks with possibility of extension

Salary: Band 4 (£26,530 - £29,114 per annum)

Apple Recruitment are recruiting on behalf of our client for an Admin Officer to join their Regional Contracts Team within a busy healthcare environment in Belfast. This is an excellent opportunity for an experienced administrator to provide vital support within a healthcare setting, assisting with the processing of applications for patients seeking treatment in other European states.

The successful candidate will provide a high-quality administrative service, supporting the management of patient applications, maintaining accurate records, preparing reports and liaising with a range of internal and external stakeholders.

Key Responsibilities

  • Provide administrative and secretarial support to the Regional Contracts Team and National Contact Point service.
  • Process and coordinate applications from patients seeking healthcare treatment abroad.
  • Support the administration of applications from initial enquiry through to authorisation of funding.
  • Handle sensitive and confidential patient information in a professional and empathetic manner.
  • Respond to enquiries from patients, healthcare professionals and members of the public regarding healthcare treatment and reimbursement.
  • Liaise with Trusts, clinicians, government departments and external stakeholders to support patient enquiries.
  • Prepare meeting agendas, take minutes and complete follow-up actions.
  • Support the planning and organisation of meetings, workshops and team activities.
  • Maintain accurate database information systems and produce reports relating to cross-border healthcare activity.
  • Analyse data and prepare reports, including responses to Freedom of Information requests and Assembly Questions.
  • Support invoice processing, reimbursements and financial administration in line with procedures.
  • Maintain mailing lists, communication records and relevant information resources.
  • Provide administrative support to senior management and wider service teams.
  • Assist with monitoring reports, audits and reviews of policies and procedures.
  • Support continuous improvement initiatives and contribute to the smooth running of the team.
  • Provide guidance and support to administrative staff where required, including workload coordination and training.
  • Maintain excellent working relationships with internal teams, healthcare providers and international contacts.

Essential Criteria

  • Previous experience working within an administrative role.
  • Excellent organisational and time management skills.
  • Strong written and verbal communication skills.
  • Experience handling confidential and sensitive information.
  • Ability to work independently, use initiative and prioritise workloads effectively.
  • Excellent attention to detail and accuracy.
  • Experience using Microsoft Office packages and database systems.
  • Ability to analyse information and produce accurate reports.
  • Ability to communicate professionally with members of the public and a range of stakeholders.

Desirable Criteria

  • Previous experience within a healthcare, public sector or government environment.
  • Experience supporting projects or service improvement activities.
  • Experience producing reports using data analysis.
  • Knowledge of healthcare policies, procedures or reimbursement processes.
  • Experience supervising or supporting administrative colleagues.
