Executive Assistant

Appian is seeking a highly organised, resourceful, and proactive Executive Assistant to support our senior sales leadership in EMEA in a dynamic, high-growth environment. As an Executive Assistant, you will proactively manage the executive’s priorities, anticipate what they need before they ask, and navigate ambiguous challenges on your own. You will also act as the “Face of the Executive Office,” curating premium experiences for key customers and executive-level prospects to help move the sales process forward.

Key Responsibilities

Executive & Administrative Support

  • Provide strategic scheduling and time optimisation by auditing calendars to align with strategic initiatives and prioritising high-value meetings.
  • Draft executive-level communications for leadership.
  • Attend key meetings to facilitate logistics and proactively collate, share, and monitor actions.

Travel, Financial, & Legal Operations

  • Execute end-to-end mission planning for travel (e.g., multi-city roadshows), optimise travel time for peak productivity, and manage complex international compliance and visa requirements.
  • Identify cost‑saving opportunities for travel and meetings, ensuring spend aligns with strategic departmental goals.
  • Monitor and coordinate the financial approval process on behalf of the SVP for the broader team.
  • Liaise with finance on vendor management and manage invoicing as required.
  • Work closely with the sales operations team to provide reporting and forecasting on sales metrics for senior leaders.

Visitor Hospitality

  • Manage high‑touch VIP experiences for key customers and C‑suite prospects to accelerate the sales cycle.

Event Coordination & Cross‑Functional Alignment

  • Manage the end‑to‑end “Customer Experience” for sales‑executed, high‑stakes EMEA events.
  • Select event venues based on brand alignment and deliver post‑event ROI reporting.
  • Own and monitor attendance at select C‑level events, managing both attendees and logistics.
  • Drive internal alignment across departments and lead special projects.

Reporting & Data

  • Build high‑impact board‑level decks.
  • Create executive summaries that drive decision‑making.

Qualifications & Requirements

  • Experience: 5+ years of strategic executive support experience, preferably in a high‑growth SaaS or global corporate environment.
  • Education: Bachelor’s Degree (or equivalent experience in Business Administration or a related field).
  • Skills:
    • Proficiency in MS Office Suite and Google Workspace.
    • Experience with Salesforce (SFDC) and Clari, with particular reference to data collection, reporting, and forecasting.

Base Salary Range: £25,000 GBP - £75,000 GBP

Pay and benefits are subject to change at any time, consistent with the terms of any applicable compensation, commission, bonus, or benefit plans.
