ApotheCom is an exciting leader in the field of medical communications. Drawn together from several backgrounds including the pharmaceutical industry, research, marketing, medical and regulatory writing, sales, publishing, digital media and design, we have the experience and all-round ability to conceive and deliver the best quality medical communications programs.
As part of the ApotheCom Client Services team, the Program Coordinator provides comprehensive team, administrative, and project support to ensure effective overall management of accounts and execution of deliverables. This role directly supports the Client Services Directors and Program Managers, and broader team members, to ensure that projects and services consistently meet client needs.
The Program Coordinator interacts with internal departments including Scientific, Creative, and Finance to assure that projects and deliverables are delivered on-time and within budget to the satisfaction of the client. This position can be remote or Hybrid out of our Yardley, PA office.
What you’ll be doing:
- Assist teams in addressing and responding to client requests and needs
- Coordinate electronic and paper file management, including resources and product files
- Conduct research as requested
- Help fulfill client deliverables, including securing meetings and submissions requirements
- Coordinate preparations for client status meetings and publication team meetings or other client meetings
- Monitor and update project status, including tracking projects, key messages, clinical trials, and contacts
- Process client expense and honoraria
- Coordinate revisions for client reports
- Contact and follow-up on status of projects/publications with clients and external authors as needed
About you:
- Bachelor's degree or 1-2 years' direct experience in project coordination support in timeline and project management
- Organizational and critical thinking abilities
- Excellent written and verbal communication skills
- Ability to perform basic research
- Comfort with working both independently and as a member of a team, ability to manage a flexible workload, often under tight deadlines
- Possession of a professional, approachable, and flexible demeanor
- Strong computer skills in Microsoft Office (Word, Excel, PowerPoint, Outlook), internet search engines. Datavision experience is a plus
- Familiarity with the medical/scientific publications industry, terminology and regulatory environment
