Key Responsibilities
- Cross functional support in the execution of daily office administrative and business support tasks in a fast paced and dynamic environment. Specific duties will include but not be limited to:
- General Office support
- Provision of reception duties: answering and redirecting calls, meet and greet clients / visitors
- Arrange business travel, accommodation, meeting and event requirements
- Ordering office supplies, ensuring they are equipped with necessary supplies and equipment
- Format business documentation
- Responsible for ensuring office is always tidy
- Responsible for ensuring stationery and canteen supplies are available at all times
- Support facility management
- Support of community engagement and the coordination of office events, meetings, and conferences.
- Support Apollo’s recruitment and onboarding processes
- Provide resource support to the project coordination team as personal commitments allow
- Support the preparation of contractor employment documentation
- Maintain training / offshore certification and travel records
- Arrange training courses, certification refreshers
- Support office HSE requirements (security, fire, first aid)
- Assist with debtor control, expediting timesheets and invoice issue
- Support creditor control
- Project co-ordination support
- Any other duties reasonably required by senior management.
Skills, Knowledge and Expertise
- Minimum good secondary school education
- Proven communication skills (both written and verbal)
- Strong IT skills and use of Microsoft Office
- Attention to detail and a high degree of accuracy
