APL Media is looking for an enthusiastic and experienced Event Coordinator to join our friendly, fast-paced team on a 13-month maternity leave contract. This role offers the exciting opportunity to coordinate and support delivery of major consumer and industry events including the National Geographic Traveller (UK) Food Festival, National Geographic Traveller (UK) Masterclasses, Travel Media Awards, and tailor-made panel or hospitality events. You’ll work closely with the Head of Events, sponsors, suppliers and internal teams to ensure every event runs smoothly, creatively and professionally.
Key Responsibilities
- Plan and execute events: Lead smaller-scale events independently and support the Head of Events on larger-scale productions, from ideation to delivery.
- Manage budgets: Monitor and manage event budgets to ensure cost-effectiveness and maximum return on investment.
- Coordinate suppliers: Source, negotiate and liaise with venues, caterers, AV teams and other suppliers to ensure quality and value.
- Engage stakeholders: Build and maintain strong relationships with internal teams, sponsors, partners and external stakeholders.
- Oversee logistics: Manage registrations, accommodation, transportation, event set-up, and on-site operations.
- Evaluate performance: Compile post-event reports with KPIs, feedback and recommendations for continuous improvement.
About You
- Minimum 2–3 years' experience in event planning, coordination or production (media/events industry experience is a plus).
- Excellent written and verbal communication skills.
- Strong organisational and time-management abilities.
- Positive team player with the ability to work across departments.
- Creative thinker with strong problem-solving skills.
- Comfortable working under pressure and managing multiple projects simultaneously.
- Familiarity with tools like Eventbrite, Asana or similar platforms (preferred).
