Role Purpose
To manage a varied portfolio of UK trusts, and deal with estate administration.
Competently and autonomously manage a portfolio of trusts and estates and have client relationship management responsibility. Carry out duties in a professional manner and in accordance with policies and procedures, legal/regulatory requirements, service levels and company standards so as to meet with business expectations.
Accountabilities & Main Responsibilities
To manage a portfolio of trust structures and estate administration in all aspects, in accordance with the relevant documentation and all new and amended legislation, case law and practice, including but not limited to:
- Arrange income and capital distributions to beneficiaries and to correctly document the same.
- Prepare and review all tax calculations for your client portfolio.
- Maintain and monitor diary notes and workflows for your client portfolio on CCH Central
- Ensure that the investment policy statement is relevant, up to date and any restrictions correctly documented.
- Prepare and maintain accurate trust summaries across your client portfolio.
- Deal with the establishment of new structures and the onboarding of new clients, in accordance with company policy and procedures
- Deal with the termination of trusts following the death of a life tenant, coming of age or other event ensuring that all trust closing procedures are followed.
- Be responsible for the annual fees calculated for your portfolio of clients. Capture additional work undertaken and invoice this as agreed with Senior Management.
- To be responsible for the client relationship management for own portfolio of clients. To ensure service delivered meets company policy and/or service level agreement.
- Represent the Group to beneficiaries, potential clients and their professional advisers.
- Participate and provide support to all new business activities.
- Liaise with the Operations Team as appropriate with regards to billing, data entry and bank reconciliations
- Contribute to any relevant tasks arising out of on-going projects.
- Ensure that the client information on CCH Central is accurate at all times.
- Provide accurate and timely monthly reports of key management information to Senior Management or as required.
- Review the work of junior members of the team for completeness and accuracy.
Additional Responsibilities
- Report any identified issues and risks, including legal/regulatory matters and client complaints, to senior management promptly;
- Ensure that all compliance and mandatory training is completed within required timescales.
- To act in accordance with all legal and regulatory requirements affecting the Company and ensuring that actions comply with both departmental procedures and this job description.
- Ensure personal development records are kept up-to-date on relevant systems and annual/semi-annual appraisals are held and documented in a timely manner
Qualifications & Skills
- The jobholder must be STEP qualified or equivalent.
- Typically 5 years of relevant industry/specialist experience
- Has sound technical knowledge of their respective field
- Act as a point of contact with internal or external clients/stakeholders
- The jobholder will be required to manage a portfolio of trusts and requires a combination of accounting, taxation, legal, investment, and commercial experience.
