Apex are looking for an Executive Assistant to provide high-quality administrative and organisational support to members of the Executive Committee. This role is responsible for ensuring efficient day-to-day operations, managing complex schedules, coordinating travel, and supporting key business processes. We are looking for an individual who is highly organised, proactive, and capable of managing multiple priorities in a fast-paced environment.

Key Responsibilities
  • Provide administrative support to multiple Executive Committee members
  • Manage complex diaries, including scheduling meetings across multiple time zones
  • Coordinate internal and external meetings
  • Arrange and manage end-to-end travel bookings, including multi-destination itineraries
  • Coordinate accommodation, transport, and visas where required
  • Prepare and submit expense reports on behalf of Executives via Workday
  • Ensure expenses are processed accurately and maintain compliance with company expense policies
  • Support Executives with system-related administrative tasks including approvals in our Workday system
  • Act as a key point of contact between Executives and internal/external stakeholders
  • Maintain confidentiality and handle sensitive information and tasks
  • Support with ad hoc requests on a daily basis
Skills & Experience
  • 1–2 years’ experience in a Team Assistant, Personal Assistant, or Executive Assistant role
  • Experience supporting multiple senior stakeholders and Executives
  • Proven experience managing complex diaries across multiple time zones and scheduling
  • Experience using Workday (or similar systems) for expenses and approvals
  • Strong experience in preparing and processing expense reports
  • Experience booking multi-destination and international travel
  • Excellent written and verbal communication skills
  • Strong organisational skills with high attention to detail
  • Ability to prioritise and manage multiple tasks effectively
  • Proactive, adaptable, and solutions-oriented mindset
  • High level of professionalism, reliability and responsiveness
