We are seeking a highly organised and proactive Project Administrator to provide essential support across a range of projects, working closely with Directors and Project Managers from apetito and our build and automation contractors. This is a varied, all-rounder role suited to someone with excellent administrative and communication skills, capable of coordinating tasks, managing information, and ensuring effective collaboration across multiple stakeholders. The ideal candidate will be adaptable, detail-focused, and confident working in a fast-paced environment.
Location
This role is based on site full time. Due to the location, a driving licence and access to your own transport are essential.
Key Responsibilities
- Support Project Managers with day-to-day administration and project organisation.
- Maintain project plans, schedules, and action logs.
- Coordinate meetings, workshops, and site visits, preparing agendas and minutes.
- Track project milestones and escalate risks or delays where needed.
- Manage project documentation ensuring structured filing and version control.
- Prepare reports, presentations, dashboards, and status updates.
- Support creation of procurement documents, risk assessments, and technical records.
- Assist with raising purchase orders, invoices, and maintaining budget trackers.
- Coordinate supplier communications and maintain quote and approval records.
- Act as a point of contact for internal and external stakeholders.
- Ensure clear and timely distribution of project information.
- Provide administrative assistance to the wider engineering or project delivery team.
- Update internal systems and support continuous improvement of project processes.
Essential Experience and Skills
- Strong organisational and administrative capability.
- Experience supporting projects or working in a project-driven environment.
- Confident using Microsoft Office and digital collaboration tools.
- Excellent written and verbal communication skills.
- Ability to prioritise multiple tasks and meet deadlines.
- UK driving licence and access to own transport.
Desirable
- Experience in manufacturing, engineering, operations, or food production.
- Understanding of project lifecycles or PMO processes.
