Role Overview

As a newly created position, the Finance & Operations Executive will play a pivotal role in shaping how our agency operates. Working in close partnership with the Finance & Operations Director, you will help establish the processes, systems and ways of working that underpin the success of our business. This is a highly visible and trusted role that spans the fundamental pillars of the agency, including finance, people operations, project management and technology. You will become a key point of coordination across the business, ensuring that the right information, processes and tools are in place to enable teams to perform at their best.

No two days will be the same. While there will be a regular rhythm of recurring activities and operational responsibilities, you will also be involved in driving improvements, implementing new initiatives and helping build the foundations for our continued growth. Success in this role requires someone who is naturally curious, highly organised and process-driven, with exceptional attention to detail. Most importantly, this role is built on trust. You will become a true partner to the Finance & Operations Director, operating with discretion, ownership and a commitment to excellence.

Key Responsibilities

Finance

  • Own and actively manage the finance inbox, ensuring timely responses and effective coordination.
  • Lead the accounts payable process for external creators, freelancers and suppliers.
  • Perform account reconciliations and maintain accurate financial records.
  • Support month-end activities and provide reporting across various business functions.
  • Assist with budgeting, forecasting and commercial analysis where required.
  • Continuously improve finance processes to increase accuracy and efficiency.

Human Resources

  • Manage the onboarding experience for new colleagues joining Aperture.
  • Build and maintain an active pipeline of candidates to support the agency's ongoing growth.
  • Conduct initial interviews and assess candidates against role requirements and cultural fit.
  • Partner with hiring managers to create clear job descriptions and maintain active vacancies within the ATS.
  • Support wider people initiatives in partnership with the Finance & Operations Director, including employee engagement, performance processes and organisational development.
  • Ensure HR processes are administered accurately and in line with relevant policies and legislation.

Operations

  • Drive the adoption and continuous improvement of systems and tools used across the agency, spanning project management, finance and HR.
  • Partner closely with business leaders to improve workflows and increase operational efficiency.
  • Coordinate cross-functional projects and initiatives, ensuring actions are delivered on time and to a high standard.
  • Identify opportunities to automate processes and enhance the employee experience.
  • Maintain a proactive approach to solving problems and supporting the day-to-day needs of the business.

Experience

  • 4+ years' experience across operations, finance, HR or business support roles.
  • Experience within an agency environment is advantageous.
  • Demonstrated ability to work in a fast-paced, target-driven environment.
  • Proven track record of building strong relationships across teams and functions.
  • Commercially aware with a solid understanding of financial principles.
  • Basic understanding of HR practices and employment compliance.
  • Experience managing multiple priorities, projects and initiatives simultaneously.
  • Comfortable working with systems and learning new technologies.
