Job Summary:
We are seeking a detail-oriented and proactive Admin Assistant to provide full-spectrum administrative and logistical support for our training programmes, seminars, conferences, study visits, and ad hoc events—particularly for foreign delegates, including Chinese-speaking participants.
In this role, you will be responsible for managing end-to-end course administration, including logistics, publicity, participant registration, vendor coordination, financial tracking, and database management. You will also support trainers and resource persons to ensure the smooth delivery of programmes, while working closely with cross-functional teams such as Finance, AV, Admin, and Customer Service to maintain high service standards.
The ideal candidate is fluent in Mandarin and English, highly organized, a fast learner, and able to thrive in a fast-paced, team-based environment.
Key Responsibilities:
- Coordinate logistics and administration for training programmes and events
- Manage course bookings, venue setup, training materials, publicity, registration, and post-event evaluation
- Liaise with vendors, trainers, and internal support teams for smooth programme execution
- Handle travel arrangements for foreign delegates
- Maintain accurate course records and alumni database
- Monitor course take-up, revenue, expenses, and ensure proper financial accrual
- Issue invoices to customers and process payments to trainers and vendors promptly
- Ensure timely updates of course information and compliance with service standards
- Provide bilingual (Mandarin-English) communication and support for Chinese-speaking delegates
Requirements:
- Strong time management and multitasking skills, able to meet tight deadlines
- Excellent teamwork and communication skills
- Fast learner, adaptable, and resourceful
- Fluent in spoken and written Mandarin and English (Chinese typing skills required)
- Prior experience in training operations, event coordination, or administrative support is preferred
