The Document Controller will play a key role in supporting project delivery by ensuring that all project documentation is accurate, controlled, and compliant with internal procedures and industry standards. This role is central to maintaining clear communication, coordinating document workflows, and ensuring project teams always have access to the latest approved information.

Key Responsibilities
  • Manage the full lifecycle of project documentation, including issuing, tracking, updating, and archiving.
  • Maintain structured electronic and hard‑copy filing systems in line with company protocols.
  • Ensure all documents follow correct naming conventions, version control, and approval workflows.
  • Coordinate document distribution between internal teams, consultants, and subcontractors.
  • Support design and construction teams by ensuring drawings, specifications, and technical documents are available, up-to-date, and QA‑checked.
  • Monitor outstanding information, ensuring timely responses and closing out document queries.
  • Prepare document transmittals, registers, reports, and compliance logs as required.
  • Support the implementation and continuous improvement of company document control standards and systems.
  • Assist with administrative project tasks where required (e.g., meeting minutes, RFI registers, change logs).
Essential Skills & Experience
  • Strong experience in Document Control, Records Management, or project information management.
  • Excellent attention to detail, accuracy, and consistency.
  • Strong organisational and time‑management skills, with the ability to prioritise effectively.
  • Confident communicator able to coordinate information across multiple stakeholders.
  • Familiarity with construction documentation such as drawings, specifications, RFIs, CVIs, EWNs, and subcontract packages.
  • Proficiency with document control platforms (e.g., SharePoint, Viewpoint, Asite, Procore, 4Projects) is advantageous.
  • Competent in Microsoft Office, especially Excel and SharePoint.
  • Previous experience working within a construction or contracting environment is strongly preferred.
Desirable Qualifications
  • Bachelor’s degree or relevant technical/administrative qualification.
  • Certification in Document Control, Information Management (e.g., ISO 19650), or similar.
