Executive Coordinator to the Managing Director
Contemporary Real Estate - Central London
Salary: circa £60,000 (DOE)
Start Date: February 2026
Hybrid: 4 days in office, Fridays from home
Our client is an international contemporary real estate firm. The company is modern and exciting, and developing fast. They operate out of brand-new, state-of-the-art offices in Central London, and have a strong, collaborative team culture.
Our client is seeking an Executive Coordinator to provide support to the Managing Director and wider team.
The Role
This is a varied and highly visible position, ideal for someone proactive, polished, and confident working in a fast-paced environment. Split across both office management/reception duties and senior-level administrative support, this role is central to the smooth running of the day-to-day operations.
Your responsibilities will include:
- Proactive diary and inbox management for the Managing Director
- Coordinating meetings, preparing agendas, minutes, and follow-up actions
- Managing travel arrangements, itineraries, and logistics
- Supporting a team of around seven people with scheduling, documentation, and general administrative needs
- Preparing reports, presentations, and correspondence
- Acting as a trusted gatekeeper and point of contact for internal and external stakeholders
- Ensuring the MD is briefed, prepared, and supported across all priorities
Office Management & Reception Duties (approx. 30%)
- Being the welcoming face of the office—greeting visitors and managing the front-of-house experience
- Overseeing the day-to-day running of the office, including supplies and facilities coordination
- Liaising with building management and external suppliers
- Assisting with company events, meetings, and office operations
- Supporting the smooth move-in and ongoing operations of the newly established workspace
About You
- Highly organised, detail-oriented, and able to anticipate needs
- Experienced in supporting a senior executive, ideally within finance, real estate, or professional services
- A confident communicator with exceptional interpersonal skills
- Comfortable balancing a dual office manager/EA remit
- Discreet, professional, and adept at handling confidential information
- A self-starter who thrives in a collaborative, medium-sized environment
- Tech-savvy, with strong skills in MS Office and modern workplace tools
